What Is Zoho CRM? Editions, Limits and the Zoho Suite
By Joris van Huët · Zoho CRM's own site
The short answer: if your sales team is three people or fewer, Zoho CRM's free edition covers leads, deals and workflow rules without a card, enough to learn whether the team will use a CRM. Past three users it costs from $14 a seat a month, and the reason to pick it is the rest of Zoho: mail, help desk, books and campaigns on one login.

Before you pick an edition:
- Price the edition whose rules you need. For example, five users on Professional cost 5 x $23 = $115 a month billed annually, or 5 x $35 = $175 billed monthly, per the pricing page. The $60 gap is the price of cancelling at a month's notice.
- Hold your list against the import cap. One file takes up to 1,000 rows on Free, 20,000 on Standard and 50,000 on Professional, per the import guide.
- Name the number to check after 30 days, such as leads assigned untouched by hand.
What sets Zoho CRM apart
Zoho sells more than one CRM: Bigin is the lighter pipeline tool, and Zoho One puts 50+ business apps on one invoice for $37 per employee a month billed annually, every employee licensed, per the Zoho One pricing page.
The edition decides what you can automate. Workflow automation is in every edition; multiple pipelines, form capture and forecasting start on Standard; Professional adds process management, AI agents and CPQ; Enterprise adds approvals, a developer sandbox and field-level encryption, per the pricing page.
For AI agents, Zoho publishes four MCP servers: read-only insights, record changes, fields and layouts, and workflow rules. An agent inherits the signed-in user's permissions and nothing more, per Zoho's MCP page.
Where it fits, and where it does not
It fits a business that runs on Zoho already, or wants one vendor for sales, support and finance, with someone to own the setup. It fits less well a team with no administrator: the settings run deep, and the rule you need is often one edition up.
Prices, checked on 24 October 2026
Per user per month, in USD, on the Zoho CRM pricing page, local taxes extra:
| Edition | Billed annually | Billed monthly |
|---|---|---|
| Free | $0, up to 3 users | $0, up to 3 users |
| Standard | $14 | $20 |
| Professional | $23 | $35 |
| Enterprise | $40 | $50 |
An edition above Enterprise is unpriced. Zoho advertises a 15-day trial without a card in its developer documentation.
An edition table is laid out so the next tier always looks necessary. The edition you need holds the first rule you will switch on, and the trial is the cheap place to find it.
Against HubSpot, Pipedrive and Salesforce
HubSpot's free tools cover up to two users, and its Starter tier bundles the marketing, sales and service hubs, per its CRM pricing page; it wins when marketing automation leads. Pipedrive presents a pipeline-first CRM with a 14-day trial and no card on its homepage, for a team that wants deals on screen on day one rather than a suite. Salesforce lists Starter Suite at $25 per user a month and Pro Suite at $100 billed annually on its pricing page: a larger ecosystem at a larger seat price.
Getting started
How to use Zoho CRM follows one job end to end: a website form that creates leads, scores them and hands each to a rep. If the question behind the CRM is the whole stack, a one-week review of my own, the Startup Fixer, covers it.
FAQ
Is Zoho CRM free?
For up to three users. The free edition includes contacts, workflow automation, standard reports, APIs and the mobile apps, per the pricing page.
Where is the data stored for a company in the Netherlands?
Zoho assigns the data centre from the country entered at sign-up. Its data centre page names Amsterdam as the primary European site and Dublin as the secondary.
Can an AI assistant read and update Zoho CRM?
Yes, through MCP clients such as Claude Desktop and Cursor, per Zoho's documentation. Start read-only: the data operations server can delete records.
