What Is Motion? AI Task Scheduling and Project Planning
By Joris van Huët · Motion's own site
The short answer: if your plans fail because nobody's calendar has room for the work in them, Motion books every task into each person's week and re-plans when meetings land; a team pays $19 per seat a month on Pro AI billed annually, or $29 billed monthly, per the pricing page, checked on 26 October 2026. There is no free plan. Motion calls itself the AI-powered SuperApp for work: projects, tasks, calendar, meetings, docs and notes in one place.
Disclosure: I may earn a commission through some links on this site. It does not change what this page says.
Price it per person before the trial:
- Seats times twelve. For example, a team of 6 on Pro AI pays 6 x $19 x 12 = $1,368 a year billed annually, or 6 x $29 x 12 = $2,088 billed monthly, using the pricing page. Business AI, at $29 billed annually, adds capacity planning, Gantt charts, time tracking and permissions.
- The estimates you already have. Auto-scheduling works from a duration and a deadline on every task, per the scheduling parameters article. A team that never estimates spends its first week doing so.
- The warnings to count. On the calendar, a yellow exclamation marks a stage at risk and a red one a missed deadline, per the indicators article. Count both each Friday; fewer red marks is the result you are paying for.
What Motion does
Its core is auto-scheduling: Motion reads each task's start date, duration, deadline and priority, splits long tasks into chunks, and places the work in free time inside working hours, around meetings marked busy, per the scheduling parameters article.
On top sit projects. A Project Workflow Template holds the stages, tasks, durations, dependencies and placeholder roles of a process you repeat, and Motion's AI drafts one from a description and attached files for you to edit, per the projects guide. AI Chat plans days and drafts docs, asking before it changes anything; the homepage adds a notetaker and integrations with Zapier, HubSpot and Slack.
Who it suits, and who it does not
It suits teams whose constraint is hours rather than ideas: agencies and in-house teams running repeatable launches, with people spread across several projects at once. It suits less well anyone who wants to place their own work by hand, since the point is that Motion moves it, or a team that needs outside contributors in the plan: guests cannot create projects or manage calendars, per the workspace limits.
What it costs
Per month in USD, checked on 26 October 2026 on the pricing page, which carries separate team and individual prices.
| Plan | Teams, per seat, billed annually | Teams, per seat, billed monthly | Individual, billed annually | Individual, billed monthly | AI credits listed |
|---|---|---|---|---|---|
| Pro AI | $19 | $29 | $29 | $49 | 7,500 |
| Business AI | $29 | $49 | $39 | $69 | 15,000 |
An individual pays more than one team seat costs, $29 against $19 on Pro AI billed annually, and teams are sold in seat buckets, per the team FAQ, so check the smallest bucket at checkout. Sign-up asks for billing details and places a $1 card hold, per the account FAQ, and the cancellation article states that purchases are non-refundable: the card is on file before the first project exists, so the day the trial converts is the one date to note before importing anything.
How it compares
- Reclaim.ai protects time rather than placing every task: focus blocks, habits and a meeting cap, with tasks recommended into that time, and a free Lite plan, per Reclaim's pricing. Choose Reclaim when meetings are the problem; Motion when the project plan is.
- monday.com plans on boards people update by hand, with a free plan for 2 seats, per monday's pricing. Choose it when shared visibility matters more than automatic scheduling.
- Marblism sells AI employees that do the work, running an inbox, social posts, SEO articles and lead generation, per its homepage. Motion plans work for people; Marblism replaces some of the doing.
Getting started
How to use Motion turns one campaign brief into a reusable template and a scheduled project.
When the plan keeps slipping anyway
If projects slip because priorities change every week rather than because calendars are full, Motion will re-plan faithfully around a moving target. That is a leadership gap, and an interim CMO is one way to close it.
FAQ
Does Motion work with Outlook calendars?
Yes, Google and Microsoft calendars both connect; if your organisation blocks third-party apps, an admin has to grant permission first, per the account FAQ.
Will Motion move my meetings?
No. Meetings and events always take precedence and tasks shift around them, per the indicators article.
How large can a team be?
Motion sizes teams in seat buckets, and above 50 seats its team FAQ points to support or the Enterprise plan.
