What Is HighLevel? Sub-Accounts, Snapshots and Usage Fees

By Joris van Huët · HighLevel's own site

The short answer: if you run an agency with more than three client accounts, the HighLevel plan that matters is Unlimited at $297 a month, because the $97 Starter plan stops at three sub-accounts. It is built for agencies that set up funnels, forms, calendars, SMS and email for clients again and again; a sales team that only needs a pipeline pays for a lot it will not open.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

Before you sign up:

  1. Divide the plan by your clients. For example, nine client accounts on Unlimited cost $297 / 9 = $33 per client a month, on the pricing page, before any usage.
  2. Add the usage. Email runs at $0.675 per 1,000 emails on every plan, per the pricing guide, so a client sending 20,000 a month adds 20 x $0.675 = $13.50.
  3. List what each client pays for today; the saving is real only for tools the client would cancel.
  4. Read the wallet after month one. Its history splits usage charges by sub-account.

How HighLevel is organised

The unit is the sub-account: one per client, with its own contacts, pipelines, forms, calendars, workflows and phone numbers, run from one agency account. Every plan includes unlimited contacts and users, per the pricing page.

What makes it an agency tool is the snapshot: a copy of one sub-account's configuration (workflows, funnels, forms, calendars, pipelines, custom fields, Conversation AI) loaded into another, with later changes pushed to linked accounts.

The web app can carry the agency's own brand, and Agency Pro adds SaaS Mode, which creates a client account when someone buys a subscription on the agency's site.

Conversation AI answers leads on messaging channels and books on a calendar, per the bot guide. An MCP server lets outside AI clients work with contacts and calendars, limited to the scopes of a per-sub-account token.

Who it suits

Agencies and consultants who build the same lead capture and booking system for many service businesses and bill for it as their own product. It suits less well a B2B team selling to a few hundred accounts, which gets little from funnels, SMS or white label.

What it costs, checked on 24 October 2026

From the HighLevel pricing page, in USD, after a 14-day free trial:

PlanMonthlyYearlySub-accounts
Starter$97$9703
Unlimited$297$2,970Unlimited
Agency Pro$497$4,970Unlimited, plus SaaS Mode

Usage comes on top: email per message, phone and SMS at the rates HighLevel says match Twilio's, and AI either per use or through AI Employee at $50 or $97 a month per sub-account, per the pricing guide.

A subscription price is built to look small next to the tools it replaces. The wallet behind it recharges from the card on file whenever the balance drops below the minimum, so set that minimum yourself.

Where it sits among its rivals

ClickFunnels' Launch plan, $81 a month billed annually, includes one workspace, two team members and 10,000 contacts, per its pricing page; HighLevel's unlimited contacts and users matter once client lists grow. Close is the opposite bet, a per-rep CRM for teams that phone, with no funnels or white label. Ontraport covers similar ground for one online business selling its own products, with order forms and memberships, priced by plan and contact count.

Getting started

Build one client's form, calendar and follow-up before you snapshot anything; how to use HighLevel takes that job step by step. If HighLevel appeals because the stack has grown sideways, review the stack first; a one-week Startup Fixer of my own does that.

FAQ

Does the trial turn into a paid plan?

Yes, unless you cancel, per the pricing page, and usage fees can apply during the trial.

Does a snapshot copy a client's contacts?

No. Contacts, conversations, appointments, Stripe connections and other integrations stay behind, per the snapshots overview.

Can an AI agent answer leads without a person checking?

It can, in Autopilot mode. The bot guide also offers Suggestive mode, where a person edits and sends each draft: the safer start.
