The short answer: if a post brings in fewer than 250 commenters a month, Manychat's Essential plan at $17 on monthly billing runs this whole job, keyword trigger, email capture and a Google Sheets sync included; above that, Pro at $39 covers 2,500 people (Essential plan, Pro plan, checked on 26 October 2026). The steps: connect a professional Instagram account, prepare the sheet, start the Auto-DM Quick Automation on one post, write the public replies and the opening DM, ask for the email, send the link, push each email to the sheet, add AI replies with a person behind them, then go live and read Runs against Sends.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

The job: a post says "comment GUIDE and I'll send it to you". Done by hand, someone answers every DM over a weekend and copies emails into a spreadsheet. Done in Manychat, every commenter gets the same answer within seconds, the email lands in the sheet, and the questions nobody scripted reach a person. What the product is and costs is in the Manychat glossary entry.

Work out three things first:

  1. Where Essential stops being cheaper. Each person past 250 costs $0.10 on Essential, per the Active Contacts article. For example, 400 commenters is 150 extra, so $17 + 150 x $0.10 = $32. At 470 the extra 220 cost $22 and the month reaches $39, Pro's price, so above 470 people a month Pro is cheaper.
  2. What you already have. A post that already draws comments, a lead magnet with a stable URL, and a Google Sheet with column headers in the first row.
  3. The baseline. Last month's link-in-bio clicks and email sign-ups from Instagram. The automation has to beat those, not zero.

What you need

  • A professional Instagram account, Business or Creator; personal accounts cannot connect, per the connection guide.
  • A Manychat account. Free allows 25 Active Contacts and four live automations, enough to rehearse on a test post.
  • Admin or Editor rights in Manychat if you will set up the AI step.

Step 1: Connect Instagram

In Settings, choose Instagram, click Connect and pick a method. Via Meta is the recommended one and needs the account in a Meta Business Portfolio; Via Instagram is quicker and has fewer features. Then, in the Instagram app, open Settings and activity, Messages and story replies, Message controls, Connected tools, and switch on Allow access to messages; the troubleshooting guide lists that switch as a common cause of silent automations.

Step 2: Prepare the sheet

Under Settings, Integrations, click Connect Google Sheets Account, per the Google Sheets article. Give the sheet columns for name, email, Instagram handle, post and date before you build, because a change to the sheet's structure later means refreshing the fields in every action that writes to it.

Step 3: Start the Quick Automation

From Automations, New Automation, choose Auto-DM links from comments, per the Quick Automation guide. Pick a specific post or reel for the first run rather than any post, then set the keyword. The guide asks you to keep the order of several live comment automations in mind, so one automation per post is the simpler start.

Step 4: Write the public replies and the opening DM

Add up to three public replies; Manychat rotates them. Turn on the Opening DM, a short message with a button. Tapping it opts the person into the conversation and lets you send further messages in the next 24 hours. A private reply alone does not open that window, per the comments trigger article.

Step 5: Ask for the email, then send the link

Switch on the email request, which follows the Opening DM. Then write the main message with up to three links, and turn on the follow-up DM for people who do not click. My recommendation: leave the follow check off unless audience growth is the goal, since each step before the link is one more place to drop out.

Step 6: Write each email to the sheet

Open the automation in the Flow Builder, add an action after the email is collected and choose Google Sheets, Insert row. Match Manychat's fields to the sheet's columns and save. Tags arrive as true or false values, which suits a "came from this post" column.

Step 7: Let AI answer the questions you did not script

Commenters ask about price, shipping or whether the guide suits beginners. AI Replies answers DM questions from a knowledge source you add as a page link or text, per the AI Replies article. Under Manychat AI, Skills, add the source, then tick Assign to a person and choose who gets the conversations the AI cannot answer. Before going live, ask it your ten most common questions in the AI Playground; where it finds no answer, it suggests a knowledge entry for you to write. The feature is in beta, Instagram-only and needs a paid plan with Manychat AI, so the person you assigned is the check: read the first week's AI answers in the inbox before widening it to more posts.

Step 8: Go live and read the numbers

Click Go Live. Insights then shows Sends, Clicks, click-through rate and emails collected. Runs, shown in the Automations list, count the Opening DMs; Sends count the DMs with the link. The gap between them is people who never tapped the button.

What Manychat's help centre warns about

  • A second comment does nothing. The trigger fires on a person's first comment under a post; the same keyword again does not run it a second time, an Instagram API limit.
  • Identical replies look like spam. Vary the wording of public replies, and use different replies on different posts.
  • The first private reply is narrow. It holds one content block, with no user input, lists or delays.
  • Long messages will not publish. Text with buttons is capped at 640 characters, without buttons at 1,000.

Rehearse for free, then decide

Run the whole flow on a test post with the Free plan: connect, comment from a second account, check the DM, the email request and the sheet row. That costs nothing and proves the setup. Free has a price of its own, though: the first DM every contact receives carries a "Powered by Manychat" message, per the Free plan article, so a campaign run on Free advertises Manychat to each person it reaches until you pay to remove it. Upgrade before the real post goes out, and size the plan with the arithmetic above.

FAQ

Why did someone who commented twice get only one DM?

The trigger runs only on a person's first comment under a post. Instagram's API sets that limit for every tool that uses it.

Can I move these leads to WhatsApp instead of email?

Yes, from Pro. WhatsApp messages are paid from a separate wallet: to Dutch numbers Manychat charges $0.1836 per marketing message, against $0.1597 on Meta's own USD rate card, per Manychat's WhatsApp pricing guide and Meta's pricing page, checked on 26 October 2026.

Does replying to a comment add the person to my list?

A private reply alone does not opt them in or open the 24-hour window. They opt in when they interact with your message, which is what the Opening DM button is for.
