Wistia vs Vimeo: Lead Data per Viewer or Storage per Dollar

The short answer: if you suspect Wistia charges more for the same hosting, the storage figures agree: Vimeo Standard gives 5 users 4 TB for $25 a month billed annually, with lead capture and calls to action, while Wistia Business gives 3 users 250 GB for $79 a month billed annually (Vimeo plans, Wistia pricing, checked on 26 October 2026). The question is what you need the viewing data to do. If a HubSpot sync and live events will do, Vimeo Advanced at $75 a month billed annually covers both. If every viewer's engagement should land on the contact record, scored, with pipeline measured against it, that is Wistia's Signals tier at $329 a month billed annually. Choose Vimeo if your job is a large library hosted ad-free for less. Choose Wistia if your job is video as a lead source that marketing automation acts on.

What decides the host:
- The gap the data has to earn. For example, Wistia Business + Signals against Vimeo Advanced, both billed annually, is ($329 - $75) x 12 = $3,048 a year (Wistia pricing, Vimeo plans). That is the price of viewer-level engagement on contact records, lead scoring and pipeline measurement.
- The size of the library you already have. Wistia counts everything toward storage, recordings and clips included, with 250 GB on Business and usage beyond it billed (Wistia pricing FAQ). Vimeo gives 2, 4 or 7 TB by plan, with self-serve bandwidth capped at 2 TB a month (Vimeo plans). Add up the folder before you compare.
- What your marketing automation platform does today. If HubSpot, Marketo or Pardot already scores leads, Signals feeds that scoring. If nobody acts on lead scores, the extra data has nowhere to go.
- The baseline to take first. Form conversions per video, and the share of new leads with any video viewing on their record, for the month before you migrate.

The differences that matter
What lands on the lead record
Wistia Signals puts video and webinar engagement on every contact record in HubSpot, Marketo and Pardot, so a viewing event can trigger a campaign or a sales task (Wistia). It is an add-on to Business and included with every webinar plan (pricing FAQ). Vimeo lists marketing automation integrations on Advanced, and its HubSpot integration promises to generate and convert leads while keeping data in sync with HubSpot's CRM (Vimeo plans, Vimeo integrations). Both connect. Wistia is the one that sells the connection as the product.
How the library is billed
Wistia meters storage and treats extra seats as $25 each (pricing FAQ). Vimeo meters storage too, but in terabytes, and adds a 2 TB monthly bandwidth limit on self-serve plans, which it says 99% of users never reach (Vimeo plans). A company with years of webinar recordings feels Wistia's storage meter first. A company with one viral demo feels Vimeo's bandwidth one.
Webinars inside the plan, or beside it
Vimeo Advanced includes hosted live events with Q&A, polls and chat, scheduled simulive and live analytics (Vimeo plans). Wistia sells webinars as their own plans, from $429 a month billed annually for 500 attendees, with Signals included (Wistia pricing). If webinars are a quarterly event, Vimeo folds them in; if they are the lead engine, Wistia's dedicated plans are built for that.
Prices by role
| Role in your stack | Vimeo, monthly / billed annually | Wistia, monthly / billed annually |
|---|---|---|
| Entry paid plan | Starter, $20 / $12 | Business, $99 / $79 |
| Lead capture | Standard, $41 / $25 | Business, $99 / $79 |
| CRM and marketing automation | Advanced, $125 / $75 | Business + Signals, $412 / $329 |
| Webinars | Advanced, $125 / $75 | Webinars, $537 / $429 |

Captions and translations ordered by an agent
Wistia's MCP server connects Claude, ChatGPT or Cursor to your account, free on every plan, for Account Owners and Managers only, and by default asks your approval before each action (Wistia MCP). Its help article lists the caption work it can do: list captions and localisations, order English captions, automated and free or human-generated, and translate a video's transcript into another language (MCP guide). Ask it which videos in the product folder have no captions, order the free automated English captions for each, then translate the transcripts of the five most-watched demos into German and French.
The human check: approve each order one by one rather than switching approvals off, and have a native speaker read every translated transcript for product names, prices and claims before the localised versions go on the site. Vimeo's route to the same result is in its own interface, AI translation paid for in AI credits per video (Vimeo plans FAQ).
The billing tab Vimeo opens on
Vimeo's plan page opens on annual billing, so the Standard price a buyer sees first, $25, assumes a year paid up front; month to month the same plan is $41, and a monthly subscription's refund window is 3 days (Vimeo plans). The annual default is good business for Vimeo and often for you. Choose it after the trial, not because it was the first number on screen.
Free, before either invoice
Wistia's Free plan hosts 25 GB for one user with its branding; Vimeo's FAQ says its Free plan is a plan, not a trial, and each paid tier offers a free trial (Wistia pricing, Vimeo plans). Upload the same three product demos to both, embed each on its own test page, and run them for a month. Compare plays, play rate and form fills, then decide whether Signals' contact-level data would have changed what sales did with any of those leads.
Pick by the job
Choose Vimeo if your job is hosting a large, ad-free library with lead capture, live events and a HubSpot connection at the lowest monthly cost per terabyte.
Choose Wistia if your job is turning video and webinar viewing into data on contact records that marketing automation and sales act on.
Wistia's plans are in its glossary entry, and gating a demo to HubSpot is walked through in how to use Wistia. Vimeo has no entry; vimeo.com is its own reference.
