How to Use Chatfuel to Qualify Click-to-WhatsApp Ad Leads

The short answer: if your Meta ads click to WhatsApp, Chatfuel's Business plan at $20 a month on monthly billing can qualify each lead inside the free 72-hour window Meta still gives ad-started conversations, so the wallet pays for the AI's replies rather than for Meta's message fees (pricing page, 24-hour window article, checked on 26 October 2026). The steps: create the company and connect a number, verify the Meta business, fill the Knowledge Base, turn on the ads automation, set three qualifying fields and the handoff, give each ad its own rule, test in the Test chat, then launch and read cost per qualified lead each week.

The job: an ad that opens WhatsApp produces conversations, and Ads Manager counts every one of them as a result. The sales team only wants the conversations worth a call. Chatfuel's AI asks the questions in between and hands over a lead with the answers filled in, which is the funnel its agency funnel guide describes. What the product is and costs is in the Chatfuel glossary entry.
Before the first ad goes live:
- What a qualified lead costs. For example, $600 of ad spend that produces 48 qualified leads is $600 / 48 = $12.50 per qualified lead, the one division Chatfuel's lead quality article asks you to report instead of cost per conversation. Add the $20 plan when you compare months.
- The number you already use. Connect the WhatsApp number customers already know. If it runs on the WhatsApp Business App today, the new number guide points to a separate article for moving it.
- The baseline. Write down Ads Manager's cost per messaging conversation for the last 30 days. Ads Manager owns everything up to the click and Chatfuel everything after it, per the end-to-end analytics article, so the comparison needs both numbers.
What you need
- A Meta business portfolio, and the documents to verify it: a tax document, a business registration or a business bank statement, with the legal name matching exactly.
- A card on file. The trial asks for one, and the wallet tops up from it.
- A WhatsApp Business Account set to dollars with no other payment method attached, so Chatfuel's credit line can pay Meta, per the wallet article.
Step 1: Create the company and connect the number
Each bot lives in its own company workspace. Click the company name at the bottom left, open Workspaces, then Companies, and click Create company, per the new bot guide. Inside it, open Settings, click Add number in the WhatsApp section, log in with Facebook, choose or create the business portfolio, enter the display name, and verify the number by text or call. Use your real business name: Meta reviews it and may restrict the account under its naming policy, which rules out "WhatsApp" or "Meta" in the name.
Step 2: Verify the Meta business
In Settings, then WhatsApp, click Verify and upload the documents. Unverified accounts can message only 250 people a day and are more likely to be banned, while verified accounts move up to higher limits automatically, per the verification article. The article puts the review at about 2 to 3 hours.
Step 3: Fill the Knowledge Base
Open Knowledge Base and complete About, with business hours and policies; Catalog, kept under 50 items for accurate recommendations; and FAQ, which the AI needs for support questions, per the Knowledge Base article. Without it the AI can only give generic replies.
Step 4: Turn on the ads automation
On WhatsApp the AI starts switched off. Go to Fuely AI, then Automations, open the WhatsApp channel, and turn on the automation for ads that click to WhatsApp, per the ads article. Leave direct messages off for now if the AI should talk only to ad leads.
Step 5: Set three qualifying fields and the handoff
In the automation, open Collect contact info and add the fields your sales team uses to decide who to call first. The qualification article recommends three as a start, for a shop for instance product interest, budget and delivery city, and gives the rules for Additional instructions: one question per message, intent first, a reason before any personal question. When every field is filled, the chat moves to the team inbox with the answers on the lead's card, and the mobile app sends a push.
Step 6: Give each ad its own rule
Each click-to-WhatsApp ad sends a pre-filled message. Create a custom automation per ad with that message as its keyword and its own instructions, per the keyword routing article. Keep the messages to one or two words, because customers edit long ones; anything unmatched falls back to the base automation.
Step 7: Test, then launch the ad
Open the automation's Test chat and play a lead from each ad. It uses your real Knowledge Base and settings, and messages no real customer, per the test chat article. Then create the ad in Ads Manager with Messaging apps as the conversion location and WhatsApp as the only destination, choose the number linked to Chatfuel, and set the pre-filled message to the keyword from step 6.
A step for an agent: the daily chat review
Chatfuel's MCP server connects Claude or ChatGPT to the account, and its consent screen has a Read-only switch that lets the assistant read chats and diagnose the bot without changing anything, per the sign-in article. Each morning, ask: "Daily check: summarize yesterday's chats of my bot and list suggested fixes. Don't change anything." The review covers the latest 25 chats and lists unanswered customers, handoffs and questions the FAQ misses, per the chat review article.
A person reads the list and decides which fixes to make. With full access instead of read-only, the assistant applies a fix only after a yes, and sends a customer message only after a yes to its exact text.
What Chatfuel's help centre warns about
- The 24-hour window. Free-form replies are possible only within 24 hours of the customer's last message; after that, only paid templates.
- Consent. Message only people who gave their number and agreed to hear from you on WhatsApp; reports and blocks lower the quality rating, and then the limits, per the WhatsApp rules article.
- A wallet at zero. Replies stop until it is funded.
- Silent leads. A lead in the Sorting stage closes after 24 hours without a reply, per the Leads article.
Reading cost per qualified lead
Every Monday, put two numbers in a sheet: last week's spend from Ads Manager and last week's qualified leads from the Leads board. Divide one by the other, per ad. That free sheet is enough to cut the ad with cheap conversations and few qualified leads.
When a good week empties the wallet, the limit article offers two fixes, auto-top-up from your card or a larger plan, and both raise Chatfuel's invoice before the campaign has shown it pays; set a small top-up amount and read the per-day charges before raising it. Later, if you want to know which qualified leads the ads caused rather than merely preceded, a causal attribution tool like Causality Engine runs that check continuously (disclosure: I founded it).
FAQ
Are click-to-WhatsApp conversations free?
Meta's messages are free for the first 72 hours of a conversation that starts from the ad, per the 24-hour window article. The AI's replies still draw credits from the Chatfuel wallet.
Can the AI book appointments without a person?
Yes. New bots start at Full autonomy, where the AI books, reschedules and confirms on its own; Booking with Human Review is the level the autonomy article suggests for a start.
What happens to a lead who stops replying?
It stays in the pipeline, and the Sorting stage closes it after 24 hours of inactivity. Follow-ups can bring it back: the AI sends up to two, per the follow-ups page.
