How to Use Fireflies.ai to Track Sales Call Objections

The short answer: if you own messaging and five reps run the demos, Fireflies.ai Pro is enough to track their objections, because Topic Tracker starts on Pro; six seats at $10 each on annual billing come to $60 a month on the pricing page, checked on 26 October 2026, and only the cross-call analytics dashboard needs Business. The steps: warn participants, limit which meetings the bot joins, build an objections topic, schedule a weekly AI Skill on external demos, check its claims against the transcripts, and ask follow-up questions through the MCP server.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

Sales hears the objections; marketing writes the page that is meant to answer them. The two rarely sit in the same room, so the copy answers last year's doubts. This guide puts the calls themselves in front of the person who writes the copy. For the plans and what the product does, see the Fireflies.ai entry.

Settle three things first:

  1. The seat count. Everyone added to the workspace is billed, per the pricing page FAQ; the free plan has no Topic Tracker, per the Topic Tracker guide. If you only need the reps' calls, the reps and you are the seats; recap links reach everyone else free.
  2. The objections sales already names. Take the loss reasons from your CRM and the phrases reps repeat in pipeline reviews. They become your first keywords.
  3. A baseline. Count how often each objection comes up in the first two weeks before you change any copy, so the next month has something to beat.

Step 1: Tell people they are recorded

Under Settings, Compliance Notification has two switches, per the consent guide: an email that reaches attendees an hour before the call with a link to keep Fireflies out, and a pinned chat message when the bot joins. Switch both on at team level. In the call, anyone can type /ff pause, which stops recording from that point; what came before stays.

Under the GDPR, a person must be told about processing at the moment their data is collected, per Article 13, and the guide itself warns that recording without consent can break privacy law. The email covers the warning; your lawful basis is still yours to decide.

Step 2: Decide which meetings the bot joins

By default Fred, the Fireflies bot, joins every meeting with a web-conference link, per the pre-meeting guide. Change that under Settings, Meeting Settings, Auto-Join Preferences. Then open Recording & Privacy and add rules: recording rules make Fireflies join meetings with certain keywords or email domains, restriction rules make it skip them. A recording rule on "Demo" in the title, and restriction rules on titles such as "1:1" or "Board", keep the archive to the conversations you need.

Step 3: Build an objections topic

Go to Settings, the Personal tab, AI Settings, and click Create a Topic, as the Topic Tracker guide describes. Name it "Objections" and add keywords one by one: too expensive, budget, competitor names, "already use", security review. As an admin, tick Enable for teammates so every rep's calls are tracked the same way.

The tracker only reads calls Fireflies transcribed, so a demo it did not join is invisible to it.

Step 4: Schedule a weekly AI Skill

Open AI Skills and click Create Skill, per the skills guide. Name it "Weekly objections" and give it instructions such as: list each objection raised by a prospect, quote the prospect's words, name the meeting, and group them by theme.

Set the schedule to Weekly and, under Run skill on, choose Custom: external meetings with "Demo" in the title. Choose text output and Teammates visibility. Before saving, preview it on real meetings and tighten the instructions until the quotes are the prospect's, not the rep's.

AI Skills charge credits per request, and the guide says the amount rises with the effort the output takes, so a long instruction set on a large model costs more each week. Pro includes 20 AI credits on the pricing page. Credits priced by effort reward Fireflies when skills grow more elaborate, so keep this one short and look at credit usage after the first run.

Step 5: Check the report against the calls

Each run appears in the Feed. For every objection you plan to act on, open the meeting, click Smart Search and select the Objections topic; the transcript highlights each place the keywords were said, per the analytics guide. If the quote is not there, or the rep said it, it does not go into your copy.

Step 6: Ask the follow-up questions through MCP

For questions the weekly skill does not answer, connect an assistant to the Fireflies MCP server at https://api.fireflies.ai/mcp, signing in with your Fireflies account, as the MCP setup page describes. Its own example prompt fits this job: "What were the common objections in this week's sales calls?" Ask the assistant to draft three changes to your pricing page from the answer, each with the meeting it came from.

A person then reads those meetings before any copy changes. The MCP tools reference lists a tool that returns a full transcript with timestamps, so the assistant can show its source, and one that creates a soundbite you can share with the reps.

Step 7: Turn it into a monthly number

Keep the weekly count per theme in a sheet. On Business, the Analytics dashboard adds Topics Insights across all calls, per the analytics guide; on Pro, the sheet is the dashboard. When the page changes, watch whether that objection falls in the next month's calls, and remember that a new campaign changes who books demos, too.

What the Fireflies guides warn about

  • No transcript, no topic. Topic Tracker needs Fireflies to have joined the meeting.
  • Pausing is forward only. Anything recorded before /ff pause stays in the meeting.
  • Scheduled skills are simpler. Integrations such as Slack or HubSpot and the model choice appear only for skills that run per meeting, per the skills guide.
  • Long demos get cut. Pro stops recording at 2 hours a meeting, per the pricing page.

FAQ

Can I do this on the free plan?

Not fully. Topic Tracker needs Pro, and the free plan's 20 AI credits are granted once, per the free plan article, which leaves little for a weekly skill.

Which plan shows objection trends across every call?

Business or Enterprise, where the Analytics dashboard and its Topics Insights tab live, per the analytics guide.

Will prospects see Fireflies in the call?

Yes. Fred joins as a participant, and with the chat notice on, a pinned message says it is recording, per the consent guide.
