How to Use SignWell for Freelancer Contracts from a Template

The short answer: upload your freelancer agreement as a template with two placeholders, Freelancer and Company, place and assign the fields, add auto-fill and conditional fields, set sending defaults, then send each contract from the template with a signing order, reminders and a required attachment, or share a template link, and let completed PDFs file themselves in Google Drive while you watch statuses on the dashboard.
Disclosure: I may earn a commission through some links on this site. It does not change what this page says.
The job: marketing hires freelance designers, writers and creators all year, and each one gets a contract by email attachment, signed on a phone, photographed, and lost in an inbox. SignWell turns that contract into a template you send in a minute and file without touching. For what the product is and costs, see the SignWell glossary entry.
Before you build the template:
- Size the plan from last quarter. For example, 18 freelancer contracts in three months is 18 / 3 = 6 a month, more than the free plan's 3, so one sender needs Light at $10 a month billed annually or $12 monthly, on the pricing page checked on 24 October 2026.
- Start from the agreement your lawyer already approved. SignWell takes PDF, Word, Pages and image files under 50 MB, per the upload guide, so nothing needs retyping.
- Track one number: days from sending to a completed status. Your inbox history gives you the before figure.
What you need
- A paid plan for more than 3 documents a month; Business for conditional fields.
- The freelancer's name and email for each send.
- A view on signature level. Article 25 of the eIDAS Regulation on EUR-Lex says an electronic signature cannot be refused legal effect only because it is electronic, and gives a qualified electronic signature the effect of a handwritten one. A standard freelance agreement rarely needs the qualified kind; ask your lawyer which of your contracts do.
Step 1: Create the template and its placeholders
On the Templates dashboard, click New Template and upload the agreement, per the template guide. When prompted, add the placeholders: Freelancer, and Company for whoever countersigns. Placeholders stand in for people, so the same template works for every freelancer.
Step 2: Place and assign the fields
Pick a field type from the left (text, date, signature, initials or checkbox) and click where it goes on the page. Use the drop-down next to each field to assign it to Freelancer or Company, per the field assignment guide. The freelancer typically gets name, address, VAT or company number, a signature and a date; the company gets a signature and a date.
Step 3: Let fields fill themselves
Add auto-fill fields for details SignWell already holds in Contacts, such as name and title; on sending they populate from the recipient's contact card, and anything the recipient types is saved back to that card, per the auto-fill guide.
On Business, add one conditional rule: if the "I am registered for VAT" checkbox is completed, show and require the VAT number field. Conditional rules need at least two fields assigned to the same recipient, and you switch them on under a field's Advanced settings, per the conditional rules guide.
Step 4: Set the sending defaults
Click Finish Template, set the sending details, and save. In the defaults, write the email message once, and use the Set Default Signers option to add your countersigner, so they join every document automatically, per the template links guide.
Step 5: Send a contract
Click New Document, then Use a Saved Template, pick the template and fill in the freelancer's name and email, per the using a template guide. In the send modal, per the send options guide:
- Apply sending order so the freelancer signs first and your countersigner second.
- CC finance, so they receive the completed copy.
- Require an attachment, such as a portfolio sample or an insurance certificate, which the freelancer must upload before completing.
- Check the reminders in document settings, which are on by default.
Step 6: Use a template link for repeat hiring
If you hire from a pool, go to Templates, Use, Get Template Link, and paste the link into your onboarding email or freelancer portal. Each person who opens it enters a name and email and receives their own document. Keep Require Email Verification on, and pre-fill fields through URL parameters using each field's API ID, such as ?first_name=Jane, as the template links guide shows. For a cohort hired at once, bulk sending takes a CSV of up to 500 recipients, per the bulk sending guide.
Step 7: Draft contracts from your AI chat
Install SignWell in Claude Desktop under Settings, Connectors, paste the API key from SignWell's Settings, API, and enable the connector, per the SignWell MCP page. Then ask: send my freelancer agreement template to the designer at this address, with the creative lead as countersigner.
The assistant creates the document as a draft and returns a link; you open it, check the names, fields and order, and only then confirm. The MCP page states that nothing is emailed until you explicitly confirm, and templates can be sent straight from the chat once confirmed.
Step 8: File and track
Connect Google Drive under Settings and switch on saving, and each fully completed contract is uploaded as a PDF to a folder named SignWell - Signed, per the Google Drive guide. On the Documents dashboard, statuses run from Draft, Sent and Viewed to In Progress and Completed, with Bounced and Declined in red, per the status guide. A Zapier connection can add each completed contract to your project tracker, per the Zapier guide.
What SignWell's guides warn about
- Update and resend starts over. It deletes the original and creates a new draft, and anyone who signed must sign again, per the sending options guide.
- Cancelling a bulk send is permanent. It deletes every document in the send, and deleted documents cannot be recovered, per the bulk sending guide.
- Deleting a template is permanent too, per the template guide.
- Drive saves only finished contracts. Declined, expired, voided or cancelled documents are not saved, so watch the red statuses yourself.
A template link is built to spread, which suits the vendor's growth and your speed alike, but a link in an old email keeps working. Disable it from the template's link menu when a hiring round ends.
FAQ
Does the freelancer need a SignWell account?
No. Recipients sign from any desktop or mobile device without creating an account, per the pricing FAQ.
Can I change a contract after sending it?
Use Update & Resend. It replaces the sent document with a new draft, and anyone who already signed has to sign the new version.
Who receives the final PDF?
Anyone you CC'd receives the completed document, per the send options guide, and with the Drive integration a copy lands in your SignWell - Signed folder.
