How to Use AgencyAnalytics for Monthly Client Reports

The short answer: for an agency sending ten clients a monthly report, AgencyAnalytics costs 10 x $20 = $200 a month on annual billing (pricing page, checked on 26 October 2026), and one report built well, scheduled with approval switched on, serves all ten once you reuse it as a template. The steps: create the client, connect its data, build the report from a Smart Report with a comparison to the previous period, add an AI summary, schedule it monthly with Require Approval, approve the first send yourself, then save the design for the next client.

Before you build anything:
- Price the roster the way the vendor counts it. AgencyAnalytics bills one client per website or URL, so a customer with two sites is two clients (client article). For example, 10 customers plus 2 second sites is 12 clients, and 12 x $20 = $240 a month billed annually.
- Copy the report you already send. Open last month's report for your largest client and list its pages and metrics. Rebuild that first; the template gallery is for the gaps.
- Pick three numbers to test. Spend, conversions and sessions for last month, read straight from the ad platforms and GA4. The first AgencyAnalytics report must show the same three for the same dates before any client sees it.
What the product includes and costs is in the AgencyAnalytics glossary entry.
What you need
- A trial or paid account. The trial runs 14 days and needs no card (pricing page).
- Admin access to the client's ad accounts, GA4 property and other platforms, or a colleague who has it.
- The client's timezone, because scheduled reports send at the set time in that zone (client article).
Step 1: Create the client
On the Clients page, click Add Client, enter the client name and the website address, then open Advanced settings for the template, timezone, group and country (client article). The timezone matters more than it looks. A report scheduled for 2 p.m. for a client set to Melbourne goes out at 2 p.m. Melbourne time, not yours.
Step 2: Connect the client's data
Inside the client, connect each integration it uses. Any of the 85+ integrations can be connected to any client, and some take several accounts per client, which suits a franchise or a brand with one ad account per country (pricing page). If an account later fails to fetch, AgencyAnalytics notifies you, and data fetches again from scratch once you reconnect it.
Step 3: Build the report
Click Reports, then Create Report, and choose Client Report. Pick Slide Deck for presenting on a screen or Document Report for a PDF the client reads alone (scheduling article). Start from Smart Report, which builds pages from the integrations already connected, or from a template you have made. In the date picker, switch on the comparison to the previous period: on "This month" it compares with last month, and a custom 47-day range compares with the 47 days before it (comparison article).
Step 4: Add an AI summary, and steer it with the prompt
Click Build With AI and drag AI Summary onto a page, or expand it to Full Report to summarise every page at once (AI Summary article). Put tone, length and focus in the prompt box rather than editing the text: toolbar edits are reset when the summary auto-refreshes, while prompt refinements are reapplied each time. The summary reads only the widgets on the page, Google Sheets widgets included, so a budget or a target belongs in a Sheet widget if it should appear in the text.
Step 5: Schedule it monthly, with approval on
Open the report and click Schedule. Set the timeframe, the recipients and the subject, choose monthly with a day and a time, and tick Compare to Previous (scheduling article). The 31st means the last day of any month. Then toggle Require Approval, which holds each report at send time until someone reviews it, and write the email body before you click Save Schedule.
Step 6: Approve the first send yourself
At the scheduled time, an in-app notification says the report is ready. Open Inbox, click Review, add context or fix a widget, then Review Email and Approve and Send (scheduling article). This is where the three numbers from the list above get checked. If they match the platforms, the template is sound.
Step 7: Reuse it for the next client
Save the design as a report template under Templates, or duplicate the whole client and choose to copy its reports, dashboards, user access and agency markup (template article, client article). Editing a template changes only reports made from it afterwards. To push a change into existing reports, select them and click Apply Template, which overwrites their content and cannot be reversed.
Step 8: Have Claude draft the meeting brief
Connect the AgencyAnalytics MCP from Claude's directory and log in with your full account address, such as yourname.agencyanalytics.app, not the agency name alone (MCP article). Then ask, for one client: "From last month's AgencyAnalytics data and these meeting notes, draft a one-page brief with the three biggest changes and one question to ask the client." Claude reads the live data with your permissions applied, one client per query. The account lead checks every figure in the brief against the approved report before the meeting, and remembers that once data reaches Claude, the AI provider's terms govern how it is stored and used, not AgencyAnalytics'.
What the help centre warns about
- Deleting a client does not lower the bill. Renewal follows the client count in Billing, so reduce it there as well (billing article).
- Applying a template in bulk is permanent. It overwrites existing report content with no undo (template article).
- Toolbar edits to an AI Summary disappear on the next auto-refresh, and on a scheduled report the refresh happens only for the first person who opens it (AI Summary article).
- No active schedule, no email. If a client says nothing arrived, confirm the schedule is active, then ask them to check spam (scheduling article).
Build it on the trial, then decide
The trial covers the whole job on its own: one client, one report, one approved send with your three numbers matching the platforms. That costs nothing and tells you whether the template holds before a single client is billed. Weigh what stays behind if you leave, though. AgencyAnalytics exports a dashboard section as a PDF and a client's rankings and integration settings as a ZIP, but its export article says custom dashboards, reports and users cannot be exported (export article), so every report you polish during the free fortnight becomes one more reason to renew. Keep last month's report in your own format too, so the client's history never lives in one tool only.
FAQ
Can the client change the date range after the report arrives?
Yes, if you enable dynamic date ranges when you set the schedule (scheduling article).
When does a quarterly report go out?
On the first day of each quarter, per the scheduling article. Set the date range to the quarter just ended.
Can the AI summary mention the client's budget?
Only if the budget is in a widget. AI Summary reads the widgets on the page, including Google Sheets widgets, but not uploaded PDFs, Word documents or spreadsheets (AI Summary article).
