How to Use GetResponse to Host a Webinar and Email No-Shows

The short answer: create the webinar with registration switched on, add consent fields to the registration form, send an invitation with the Webinar block, turn on reminders, record the session and make it available on demand, then build a saved segment of people who registered but did not attend and send them the recording. Registration has to be on from the start, because GetResponse can only separate attendees from no-shows when it is (webinar activity search).
Disclosure: I may earn a commission through some links on this site. It does not change what this page says.
The job is one event, run properly: the people on your list hear about it, the people who sign up are reminded, and the people who sign up and do not show still get something useful. Plenty of registrants miss the live session; that is ordinary, and it is the reason the follow-up matters. What GetResponse is and costs is in the GetResponse glossary entry.
Settle these before you schedule:
- What the event costs you in plan terms. Webinars sit on Creator. At 2,500 contacts that is $79 a month on monthly billing against $29 for Starter, so for example a team running one webinar a month pays $79 - $29 = $50 extra per event (pricing page, checked on 24 October 2026). A free account can host 10 people including you and any presenters (plans article), enough for a rehearsal and not much more.
- Your list, your from address and your consent fields. Consent fields are created in the account first, then picked in the webinar settings.
- Three numbers to read afterwards. Registrants, attendees, and registrants who did not attend, all available from the contact search once registration is on.
Run the event in GetResponse
Create the webinar
Go to Webinars and, on the Manage webinars page, click Create webinar (create a webinar). Give it a name of 3 to 70 characters, which attendees will see. In Basic settings, check the webinar URL built from the title, choose the start time in your account's time zone, set the duration, and tick Automatically record on start and Automatically create an on-demand webinar when the event ends. The lobby message, up to 250 characters, is a good place for the agenda.
Set registration and consent
Open Registration and subscription settings. Choose the from field for confirmations and reminders, and the list registrants join. Turn registration on, so registrants are added to the list, receive joining details by email and appear in the statistics. Turn reminders on and choose when they go out. Under Consent and permissions, add your consent fields and, if you want, the open tracking consent checkbox; any field can be made required (create a webinar).
This is where the law decides. Signing up for one webinar is not the same as agreeing to your newsletter. When judging whether consent is freely given, Article 7(4) of the GDPR takes utmost account of whether a service is made conditional on consent to processing that the service does not need (GDPR on EUR-Lex). So make the marketing consent field a separate, optional box, and let people register for the webinar without ticking it.
Invite the list
After you click Create, choose Send an invite. Set the linked list, message name, subject, from address and tracking, then Design message and drag the Webinar block into the body, selecting your webinar from the drop-down on the right (create a webinar). If you want a password on the room, note that GetResponse does not include it in confirmations or reminders, so you have to send it separately.
Let the AI draft the invitation, then check the facts
Under Tools, Email Marketing, click Create newsletter and choose Use an AI email creator. List the topic keywords and your type of business, open More settings and pick Invitation as the email type, choose the tone and a design, and click Generate (AI email generator). Paid plans can use it without limits except Starter, which gets 3 uses. The AI writes the draft; a person then checks the three things it cannot know: the date and time zone, the speaker names and the registration link. Then add the Webinar block so the link points at the right event.
Promote it with a funnel instead, if you prefer
For a dedicated sign-up page, Conversion funnel, then Create funnel, then Promote a webinar and Host free webinar sets up the webinar, a list, a landing page template with a form and an exit pop-up, a welcome autoresponder and a thank-you page in one flow (free webinar funnel). Registration is always required in a funnel, which suits the follow-up below. The landing page can run up to 10 variants for A/B testing.
After the event: the no-show email
Go to Contacts, then Search, and open Advanced search. Add two conditions: Contact actions, Webinars, Participated, your webinar, Registrant; and Contact actions, Webinars, Not participated, your webinar, Attendee (webinar activity search). Apply, then Save as segment. Send that segment a newsletter with the on-demand link and one line on what they missed. Attendees, found with the Participated and Attendee condition, get a different email: the slides, and a next step.
To automate the reminders and follow-ups for the next event, GetResponse's Webinar promotion workflow template tags invitees, separates registrants from non-registrants and reminds the latter (webinar promotion template). It has 11 elements and uses the Dynamic segment filter, so it does not fit Starter's single 6-element workflow, and the dynamic segment filter is not available on a free account (plans article).
What the help centre warns about
- Registration off. The webinar activity search does not work without it.
- Workflows that collide with reminders. If you use the automatic webinar reminders, start the promotion workflow so it finishes before they go out.
- A password nobody received. It is not in the confirmation or the reminders.
- The free account's room size. Ten people, presenters included, and a single recording of up to 30 minutes.
Webinars sit only on Creator, the plan that bundles them with courses, a website builder and paid newsletters, so the plan is priced for buyers who want all of it. If webinars are your only reason to move up, the monthly difference from Starter, worked out above, is the real cost of each event.
FAQ
Can I run a webinar on the free account?
Yes, for up to 10 people including you and the presenters, with one recording of up to 30 minutes that can become one on-demand webinar, per the plans article.
Do registrants get reminders automatically?
Only if reminders are switched on in Registration and subscription settings, where you choose when they go out and which template they use, according to the webinar article.
How do I email only the people who missed it?
Combine Participated as Registrant with Not participated as Attendee in Advanced search, save it as a segment, and select that segment as the newsletter's recipients. It only works if registration was on.
