How to Use Saleshandy to Launch a Cold Email Sequence

The short answer: connect your sending mailboxes, publish SPF, DKIM and DMARC for the domain, add a custom tracking domain and warm-up, set a low daily limit per mailbox, then write the sequence with follow-ups, import prospects, check the sequence score and switch the sequence out of Draft.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

Saleshandy divides setup into two halves: a technical setup that protects the domain, and the sequence itself. Its technical setup guide asks you to finish the first half before writing a single email, and that order is worth keeping. Sending from a domain before it is authenticated and warmed is the shortcut the guide exists to prevent. For what the product is and what each plan includes, see the Saleshandy glossary entry.

Before you start

  • An account. Every published plan has a 7-day free trial with no card, and Starter costs $41 a month on monthly billing, per the pricing page (checked on 23 October 2026).
  • A business domain and access to its DNS. The technical setup guide notes that SPF and DMARC cannot be set for free addresses such as gmail.com or outlook.com, only for a domain you own.
  • A list you are allowed to email. That is a legal question as much as a technical one.

On that last point, the ePrivacy Directive (Article 13 on EUR-Lex) requires prior consent for email marketing to individuals, allows an exception for your own similar products sold to existing customers, and leaves the rules for company recipients to each member state. Outside the EU the picture changes again: the FTC's CAN-SPAM guide says the law makes no exception for business-to-business email. Check the rules for every country on your list; this is not legal advice.

Step 1: Connect the sending mailboxes

Go to Settings, then Email Accounts, then Add Email Account. The technical setup guide offers three routes: the native Google or Microsoft integration, a single SMTP/IMAP connection, or a bulk SMTP/IMAP upload from a CSV of up to 100 accounts and 5 MB. With the native route, grant every permission Saleshandy asks for or the connection fails. With SMTP, enable IMAP, two-step verification and an app password first.

Your login email and your sending addresses can differ, which lets one person run outreach from several mailboxes.

Step 2: Publish SPF, DKIM and DMARC

Add the three records in your domain's DNS manager, or at your email provider. The technical setup guide explains each one and how to check it: once a mailbox is attached to a sequence, the sequence score shows an email setup score that flags any missing record.

Step 3: Add a tracking domain and a signature

A custom tracking domain is a subdomain you use only for open and click tracking. Without one, Saleshandy falls back to a shared tracking domain, per the same setup guide. Then add a signature under Settings, Email Accounts, the account, general settings.

Step 4: Turn on warm-up and set the sending limits

Warm-up runs through TrulyInbox, which Saleshandy partners with and which stays free for paid Saleshandy users within the plan's allowance, per the technical setup guide. In the mailbox's sending settings, the guide recommends three things: a daily sending limit below 50, a gap of 90 to 160 seconds between emails, and ramp-up switched on so volume rises gradually.

One caution. Saleshandy's separate sending limits article suggests keeping a mailbox below 200 emails a day, with a default gap of 60 to 190 seconds. When two pages from the same vendor disagree, start from the lower figure and raise it only once replies and bounces look healthy.

Step 5: Write the sequence

Open the Sequence tab and click Create Sequence, or Write with AI, which asks for your website and drafts copy from it, according to the sequence setup guide. Add Step opens the email editor. Use merge tags for personalisation, spintax for wording variants, and the content guide on the right, which flags phrases likely to trip spam filters.

Then add follow-ups. The guide recommends at least four to five, each timed in days from the previous step's send date. Each step can carry A/Z variants, up to 26 of them, and you can pause the weak ones once results come in. Once the first steps exist, a subsequence can catch prospects who reply, open a set number of times, click a link, reach an outcome or carry a tag, after a delay you choose.

Step 6: Import the prospects

In the Prospects tab, import a CSV or add people by hand. The prospects article also covers the Lead Finder route: filter the database, reveal contact details, then add the revealed leads straight to a sequence step, up to 100 at a time.

Step 7: Attach mailboxes and configure the sequence

In the sequence's Settings, open Email Account and add mailboxes. Several mailboxes on one sequence use sender rotation, which the pricing page caps at 10 accounts on Starter, 100 on Pro and 1,000 on Scale. Then set the sending schedule, the safety settings, list verification and the unsubscribe option, all covered in the sequence settings article.

The sequence setup guide advises keeping text-only email on. That helps deliverability, at the cost of open and click tracking: you judge the sequence on replies.

Step 8: Check the sequence score and activate

Run the sequence score before sending. The sequence score article explains that it weighs three things, the email account setup, the sequence setup and the email writing, into one figure. Then click the Draft toggle to activate it. The mailbox provider's own sending limits still apply, whatever you set inside Saleshandy.

What Saleshandy's docs warn about

  • Skipping the technical setup. The setup guide puts it first because unauthenticated mail lands in spam.
  • Exceeding the provider's limit. The sending limits article warns of blocked or restricted accounts and a "You have exhausted your sending limit" bounce.
  • Ignoring list quality. The deliverability article sets a bounce rate below 3% as the target and suggests checking domain and server IP blacklists with MXToolbox.
  • Free mailboxes for outreach. They cannot carry SPF or DMARC, so they cannot pass the setup checks.

If you have not settled on the tool yet, Saleshandy vs Smartlead compares it with its nearest rival.

FAQ

How many follow-ups does Saleshandy suggest?

At least four to five after the first email, according to its sequence setup guide. Each follow-up's day is counted from when the previous step was sent, so the gaps stay the same for every prospect.

Can one sequence send from several mailboxes?

Yes. Add more accounts under the sequence's Email Account settings and Saleshandy rotates between them. The number a sequence can rotate across depends on the plan, from 10 on Starter to 1,000 on Scale, per the pricing page.

Do I have to use the Lead Finder?

No. You can import your own CSV or add prospects manually; the Lead Finder is one of several import routes. Its credits come with every plan either way, so it is worth knowing what they cover before you buy data elsewhere.
