StackAI vs Zapier: Quoted After a Demo or Bought by Card

The short answer: if any AI that reads your internal documents must clear IT and security before staff touch it, StackAI is built for that approval chain: its free plan covers 1 seat, 2 projects and 500 runs a month, and every plan above it is a custom quote, checked on 26 October 2026 on the StackAI pricing page. If marketing builds its own automations and pays by card this week, Zapier sells that: Professional starts at $29.99 a month billed monthly for 750 tasks, and Team at $103.50 for up to 25 users (Zapier pricing). Choose StackAI if your job is a governed agent that many colleagues use; choose Zapier if your job is wiring your apps together yourself.
Disclosure: I may earn a commission through some links on this site. It does not change what this page says.
The vendor writes its name as one word, StackAI, and a banner on its homepage says Asana has acquired it (StackAI). It sells to whoever signs off AI across a company: private cloud or on-premise deployment, agents grounded in your documents, and release stages that need a reviewer. Zapier sells to whoever does the work. Its homepage now invites you to start a workflow inside Claude, ChatGPT or Cursor and run it on Zapier, across 9,000+ apps reached through one connection (Zapier, Zapier MCP).
Three questions for the first meeting:
- How many people build. StackAI's free plan has 1 seat, so a second builder means the quoted Enterprise plan (StackAI pricing). On Zapier, Free and Professional are single-user and Team takes up to 25. For example, three builders on Team at $103.50 a month billed monthly pay $103.50 / 3 = $34.50 each (Zapier pricing).
- What the agent must read and write. StackAI builds knowledge bases from uploaded files, Google Drive or other sources and lists 500+ enterprise integrations, Zapier among them (knowledge bases, StackAI's Zapier connector). On Zapier, an AI step reads knowledge sources and calls app actions as tools on its Advanced and Premium tiers (model tiers).
- The report someone will ask for. StackAI's usage settings track runs, credits, seats, projects and storage, with custom limits per user, group or project (usage limits). Zapier's Team and Enterprise admins can export task usage per member as a CSV (task usage). Ask which one finance or IT expects.
Line by line
| StackAI | Zapier | |
|---|---|---|
| Who it is sold to | IT and enterprise architecture teams (StackAI) | Self-serve buyers; Enterprise through sales (pricing) |
| Free plan | 500 runs, 2 projects, 1 seat | 100 tasks a month, two-step Zaps |
| What is counted | Runs, one per workflow execution (pricing FAQ) | Tasks, one per successful action (task usage) |
| Shipping a change | Deployment stages with required approvals (deployments) | Zap version control on paid plans (pricing) |
| Where it runs | Multi-tenant, private cloud or on-premise | Zapier's cloud; advanced deployment options on Enterprise |
| How colleagues reach it | Chat, form, batch, API, Slack or Teams interfaces (interfaces) | Zaps run in the background; Agents and Chatbots are add-ons |
| Single sign-on | Enterprise | SAML SSO from Team |
What separates them
A reviewer before release
On StackAI, a new workflow version goes to a stage, such as testing or production, as a request; required reviewers run it in a review workspace and approve, and the previous version stays live until they do (deployments). Zapier puts version control in every paid plan, and the builder who edits a Zap publishes it. If legal must see an agent before customers do, that gate is built in.
Whose servers
StackAI's Enterprise plan lists on-premise and private cloud deployment, dedicated infrastructure, access control and SSO, with SOC 2, HIPAA and GDPR compliance (StackAI pricing). Zapier runs on its own cloud and names "advanced deployment options" only under Enterprise (Zapier pricing). For data that may not leave your network, that row decides it.
Who sees the result
StackAI separates the builder from the user: an interface decides whether staff meet a workflow as a chat, a form, a batch table, an API, or a bot in Slack or Microsoft Teams (interfaces). A Zap usually works unseen, firing on an event and writing to your apps.
Both together: an agent drafts, a Zap waits for a yes
The job: first drafts of the company and product sections in incoming RFPs, written only from approved material. In StackAI, a workflow reads the RFP against a knowledge base of approved product sheets and past answers and drafts each section. Its last step is the Zapier connector's Trigger Webhook action, which posts the draft as JSON to a Zap that starts with a Webhooks by Zapier Catch Hook (StackAI's Zapier connector, Zapier webhooks). The Zap's next step is Human in the Loop's Request Approval, so the product marketing lead approves or corrects the draft before a later step files it in the CRM (Human in the Loop). StackAI's connector page warns that a retry can repeat a write, so set retries with that in mind. For example, 20 RFPs a month are 20 StackAI runs, inside the free 500, and 20 x 2 = 40 Zapier tasks for the approval and the filing step, since the trigger is free.
What it costs
StackAI, checked on 26 October 2026 on its pricing page: Free is $0 a month for 500 runs, 2 projects, 1 seat and community support on Discord. Enterprise is a custom quote with custom runs and seats, unlimited projects, solution engineers and the deployment options above. Nothing is published between the two.
Zapier, checked the same day on its pricing page, per month at each plan's entry task tier:
| Zapier plan | Billed monthly | Billed yearly | Who it covers |
|---|---|---|---|
| Free | $0 | $0 | One user, 100 tasks |
| Professional | $29.99 for 750 tasks | $19.99 | One user |
| Team | $103.50 for 2,000 tasks | $69 | Up to 25 users |
| Enterprise | Quoted | Quoted | Unlimited users |
A second colleague who needs to build is the moment StackAI's price appears. The free plan stops at 1 seat and 2 projects, and the only door above it is a custom quote that begins with a demo, where StackAI learns your volumes before it names a figure (StackAI pricing). That order serves the seller's side of the table. Walk in with your own counts of runs, seats and projects so the quote is built on them.
Choose StackAI if your job is
- An agent that many employees use through chat, a form or Slack, released only after a named reviewer approves.
- AI on internal documents that must stay in a private cloud or on your own servers.
- Usage limits set per user, group or project by an administrator.
Choose Zapier if your job is
- Connecting the apps marketing already pays for, built and changed by marketing.
- A published price you can buy by card, from one user to 25.
- Short flows with one AI step and a person's approval before anything is sent.
Start on the free tiers
StackAI's free plan has room for one low-risk project and 500 runs (StackAI pricing). A new Zapier account gets a 14-day Professional trial with no card (pricing FAQ). Build the RFP flow in two halves, the agent on StackAI and the Catch Hook with its approval step on the Zapier trial, and run five real RFPs through it before anyone books a demo. For Zapier against a per-run meter, see n8n vs Zapier.
Sometimes the trial shows that the tool was never the open question: nobody has decided which marketing jobs belong to an agent, or who signs off what it writes. That is a design question first, and it is the work my agentic marketing service is for.
FAQ
Is it StackAI or Stack AI?
The vendor writes StackAI, as one word, on its homepage and pricing page. People often search it with a space.
Can a Zap start a StackAI workflow?
Yes, through StackAI's On External Webhook trigger, which gives a URL that another system calls with the event's data (webhook trigger). StackAI's docs advise using the source event's identifier to catch repeated deliveries before any one-time action.
Does Zapier sell AI agents?
Yes, as an add-on with a meter of its own: activities, capped at 400 a month on the free tier and 1,500 on Pro. The same help article notes that Agents is being folded into AI by Zapier (Agents usage).
