How to Use Demio to Find Which Channels Fill Your Webinar

The short answer: you need Demio's Growth plan or above to see where registrants come from, from $80 a month per host paid yearly for a 150-person room (Demio pricing, checked on 26 October 2026); Starter accounts capture the data but cannot read it until they upgrade (source tracking). The steps: give every channel its own UTM-tagged registration link, count the registrations Demio cannot tag on their own line, launch Boost so registrants share personal links, then export the People data with its UTM values and set it beside attendance.
Disclosure: I may earn a commission through some links on this site. It does not change what this page says.
The job: the next webinar is promoted through the newsletter, LinkedIn posts, a LinkedIn ad and a partner's mailing, and afterwards someone asks which of the four was worth the effort. Demio records the source of each registration without setup, provided the link carried one. Most of this guide is about making sure it does. For plans and the platform itself, see the Demio glossary entry.
Before you start:
- The plan. Growth or higher. A Starter account that upgrades unlocks the source data it already captured (source tracking).
- A channel list. Every place the link will appear, written down before anything is posted.
- A naming rule. Lowercase, always: Demio asks for UTM parameters in standard lowercase format.
- A baseline. For example, if the last webinar drew 180 registrations with no source data, this one's per-channel counts can at least be set against that total.
Step 1: Build one registration link per channel
Take the event's registration URL and append utm_source, utm_medium and utm_campaign, such as ?utm_source=linkedin&utm_medium=paid&utm_campaign=q4-webinar. Demio captures utm_id, source, medium, campaign, term and content, plus a referral URL when another site links to the page (source tracking). It recommends a URL builder; Google's Campaign URL Builder does the job.
Step 2: Tag the embedded form too
If the registration form sits on your own landing page, add the same parameters to that page's URL; source tracking works on Demio's embed options except the unstyled HTML form (source tracking). Choose a styled embed, or that page's registrations arrive untagged.
Step 3: Count the blind spots on their own line
Demio does not track the source of registrations made through its API, through Zapier or through 1-Click Join Links (source tracking). Contacts registered from a HubSpot workflow arrive tagged with HubSpot as source and Workflow as medium (HubSpot integration). Put each of these in the report as its own row rather than letting them sink into "unknown".
Step 4: Turn registrants into promoters with Boost
Click Boost Registrations in the Products menu, then Set Up next to the event. On the Customize tab, write the email that asks registrants to share, set rewards and the points a reward needs, style the sharing page and write the posts for LinkedIn, Facebook, Twitter and Gmail; then click Launch. Every registrant receives a unique sharing link (how to Boost).
Boost reports on itself: the Audience tab shows how many sign-ups each registrant brought, and the Activity tab breaks registrations down by platform. That gives you a fifth channel, word of mouth, with its own count.
Step 5: Read the People table while registrations come in
On the event's Activity tab, the People table shows the captured values for every registrant, filterable by session or date range; the same values sit on each contact card and in the CSV export (source tracking). If a channel shows nothing after two days of posting, check that its link went out with the tags.
Step 6: Export and join registrations to attendance
Demio cannot push source data to other tools automatically; the documented route is a CSV export (source tracking). Request the Registrants, Attendees and missed-event exports from the Activity section. They are processed in the background and emailed as CSV or ZIP files, the download link expires after 48 hours, and the same export can be requested once every 24 hours unless new data arrives (data export).
In a spreadsheet, match the two files on email and count, per source: registrations, attendees, and attendees who stayed Focused, meaning they had the Demio tab open (Insights overview).
Step 7: Let the replay keep collecting, with an AI on chat duty
On Growth or higher, open the recording's Options menu and click Create On-Demand; Demio builds a new automated event with on-demand availability (convert a recording). Reuse your tagged links for it.
This is the agent step, on Premium or Unlimited: switch on Demio AI in the Room section. It drafts its event context from the transcript, which you edit, then answers attendees' chat in the on-demand room (AI moderator). The human check follows Demio's own advice: register as an attendee and question it before launch, then review its replies in Activity > On-Demand Messages each week and follow up with anyone it answered badly.
Where Demio's articles say tracking breaks
- Unstyled HTML embeds carry no source data.
- API, Zapier and 1-Click registrations carry none either.
- Mixed-case parameters. Demio asks for standard lowercase UTMs.
- Expired export links. After 48 hours, request a new export.
Reading the result
Boost opens with 14 free days and then becomes a paid term on your Demio billing cycle on its own (pricing FAQ); the renewal is Demio's default, not your decision, unless you put the end date in the calendar on launch day and judge Boost by its Activity tab before then.
Rank channels by attendees, not registrations: a channel that brings many sign-ups and few attendees is filling a list, not a room. Then take the attendee list per source to the CRM and check which ones became meetings in the following 60 days. Later, if you want to know which channel caused that pipeline rather than which link was clicked last, a causal attribution tool like Causality Engine does it. Disclosure: I founded it.
FAQ
Can I see sources for registrations that came in before I upgraded?
Yes. Demio captures source data on every plan, and upgrading from Starter unlocks what was already captured (source tracking).
Does source tracking work on the embedded form?
Yes, on the styled embeds, when the page that hosts the form carries the UTM parameters; not on the unstyled HTML form (source tracking).
What does Boost show that UTMs do not?
The person behind the share. Its Audience tab counts the registrations each registrant collected, so you can see your top promoters and reward them (how to Boost).
