How to Use Pabbly Connect to Follow Up Facebook Leads

The short answer: create a workflow with the Facebook Lead Ads New Lead trigger, add each lead to a Google Sheet, have a ChatGPT step draft the first reply, send that draft to a colleague with Human in Loop's Request Approval, and let Gmail send it only after a yes; then switch on auto re-execution and test with a dummy lead. A lead form that gets a few hundred entries a month fits Pabbly's Standard plan, $19 a month on monthly billing for 10,000 tasks, checked on 24 October 2026 on its pricing section, because the trigger is free and only the four actions count.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

Lead ads fill a form inside Facebook, and the lead goes cold while it waits there for a CSV download. This workflow moves it out the same minute and puts a drafted reply in front of a person who can stop it. For what the product is and costs, see the Pabbly Connect glossary entry.

Check before you build:

  1. The task count per lead. Only action steps use tasks (pricing FAQ). This workflow has four: the sheet row, the ChatGPT draft, the approval request and the email. For example, 250 leads a month x 4 = 1,000 tasks, beyond the free plan's 100 and its two-step limit, and a tenth of Standard.
  2. The accounts you already have. Admin access to the Facebook Page that owns the lead form, a Google Sheet with one column per form field, the Gmail account replies should come from, and an OpenAI API key.
  3. The check you will run on Friday. Leads in the sheet against leads in Facebook for the same week, and every task in the workflow's history marked successful.

1. Create the workflow

In the Pabbly Connect dashboard, click Create Workflow, name it after the job, such as "Facebook leads to Sheets with follow-up", choose a folder and click Create (Facebook leads guide).

2. Set the Facebook Lead Ads trigger

Click Add Trigger, choose Facebook Lead Ads and the New Lead event, then connect your Facebook account through Add New Connection and pick the page and the lead form (Facebook leads guide). The app also offers New Lead Instant, which fires when a lead is submitted on a form tied to your page (Facebook Lead Ads app).

3. Write every lead to the sheet first

Click Add Action Step, choose Google Sheets and Add a New Row, connect the account, pick the spreadsheet and worksheet, then map name, email, phone and the form answers to their columns (Facebook leads guide). The sheet comes before anything clever on purpose: if a later step fails, the lead is already recorded.

4. Test with a dummy lead

Submit a test lead through Facebook's lead ads testing tool and confirm the row appears (Facebook leads guide). Do this before adding the AI step, so you know any later problem is not the trigger.

5. Let ChatGPT draft the reply

Add an action step with the OpenAI app and its ChatGPT event, which creates a chat completion (OpenAI app). In the prompt, give it the lead's first name and form answers, a short description of what you sell, and firm limits: three sentences, no prices, no meeting times it cannot know, sign-off from a named colleague. Ask for the email body only, so the output maps straight into Gmail.

6. Put a person between the draft and the inbox

Click Add New Action Step, search for Human in the Loop, choose the Request Approval event and connect it (Human in Loop guide). Pabbly describes that event as pausing the workflow to wait for an approver's decision (Human in Loop app). Choose email as the channel, enter the reviewer's address, and write a message that maps the lead's details and the ChatGPT draft, so the reviewer can judge the reply without opening anything else. The reviewer approves or rejects; nothing reaches the lead in between.

If you would rather have the person send it themselves, Gmail's Create Draft action is the quieter alternative: the reply waits in the drafts folder (Gmail app).

7. Send the approved email

After the approval step, add Gmail with Send Email, set the lead's email as the recipient and map the draft into the body (Gmail app). Click Test Workflow, then open the task history to confirm the approval request went out and the decision moved the workflow on, which is how Pabbly's own guide tests this step (Human in Loop guide).

8. Retry what breaks

Open the workflow's three-dot menu, choose the Auto Re-Execution settings and set between zero and five attempts (re-execute guide). Pabbly also skips any step that depends on a failed one, so if the ChatGPT call fails, the Gmail step that maps its output is skipped rather than sent. When a failure email arrives, its task history ID opens the run and the error message (troubleshooting guide).

What Pabbly's guides warn about

  • Connections that lose permissions. Errors such as "unsupported post request" or "missing permissions" in a Gmail step usually mean the connection needs re-authenticating (troubleshooting guide).
  • Skipped steps that look like success. A skipped dependent step shows in task history; review it there rather than assuming every lead got a reply (re-execute guide).
  • An MCP URL left lying around. If you later expose a step to Claude through Pabbly's MCP server, the guide says the server URL works like a password (MCP guide).

The free tier's two-step limit exists to move you to a paid plan the first time a workflow needs a third step. This one needs five, so plan for Standard from the start and do not rebuild it twice.

FAQ

Does the approval step use a task?

The pricing page counts action steps and lists internal tools that are free, and Human in Loop is added as an action step (pricing FAQ). Budget it as one, then read the task count in history after the first test.

Can I use a webhook instead of email for approvals?

Yes. The guide lists email, triggering another workflow, or a webhook URL as ways to send the request (Human in Loop guide).

Can Claude trigger this workflow?

An action step can be added to Pabbly's MCP server from its three-dot menu, with a tool name in the guide's format, without spaces, and the server URL from settings goes into the MCP client (MCP guide). Keep the approval step in place if you do.
