Turn Sales Call Notes Into CRM Updates With HubSpot or Attio

The short answer: if your reps sell over Zoom, Google Meet or Teams and the CRM is HubSpot, Sales Hub Starter already does this job: Notetaker transcribes the call, suggests property updates, and the rep approves, edits or rejects each one, for $10 per seat a month paid monthly, per the Sales Hub pricing page and the Notetaker article, checked on 26 October 2026. On Attio, the same job is a workflow you build on Pro, $99 per user a month paid monthly on the Attio pricing page. For example, if 4 reps each spend 10 minutes typing up each of 10 calls a week, 4 x 10 x 10 = 400 minutes of typing a week move to the agent, and the rep keeps the approval.

The job: the call ends, the rep goes straight into the next one, and the CRM hears about it days later, if at all. Then the pipeline review argues about stages nobody updated. The person who was on the call is the only one who can say whether the buyer agreed to a next step, so the agent drafts and that person signs. Product background sits in the HubSpot, Attio and Fireflies.ai entries; if you are still choosing the CRM, Attio vs HubSpot weighs the two.
Settle these before the first recorded call:
- What a call costs to process. In HubSpot, standard properties use no HubSpot Credits, while each custom property in the capture settings is a data agent run per transcript; the Notetaker article gives the example of 5 custom properties across 5 transcripts, 25 runs. Starter includes 500 HubSpot Credits, per the pricing page. In Attio, Create task and Update record cost 1 workspace credit each and agent blocks are billed by tokens, per the credits guide, against 10,000 workspace credits a month on Pro, per the pricing page.
- The fields your pipeline review reads. Start from what the sales manager asks about on Monday: the next step, the close date, the stage, the main risk. Three to five fields. In HubSpot they become the eligible properties; in Attio they become the agent's output schema.
- Consent before the bot joins. HubSpot's Notetaker article states that the legal basis for recording is yours to establish, and offers a Require explicit consent switch: if any participant does not consent, or does not answer the consent email, the meeting is not recorded. Under Article 13 of the GDPR, people must be told about the processing when their data is collected, so the invitation is the place to say it.
- The baseline. For the last four weeks, count external meetings and how many of their deals got a next activity within a day. HubSpot's Next Activity Date is set from logged future activities, per its deal properties, so the export is one filter away.
On HubSpot: switch it on, then set the approvals
- Switch it on. A Super Admin turns Notetaker on for the account. Each user connects a calendar, Call Recording and Transcription and Analysis must be on, Zoom hosts need local recording, and on Starter every rep needs a Core seat, per the Notetaker article.
- Trigger. Notetaker joins a meeting that is stored in HubSpot, has a CRM contact from outside your own email domain and takes place on Meet, Teams or Zoom. It announces itself by audio, chat and pop-up, and stops after three hours; each user can invite it to 40 meetings a day, per the same article.
- The agent step. When processing ends, HubSpot reads the transcript together with the related deal and writes a summary, suggested property updates and suggested action items. Pick the Sales Rep summary template for deal calls. The article lists no suggestions for voicemails, for recordings under 60 seconds, or for fewer than two speakers.
- The human check, set before anyone records. In the smart data capture settings, choose the eligible properties and, for each, Automated or manual review. Call outcome and Meeting outcome arrive with Automated selected. Clear both, so every write waits for the rep.
- Approval. The rep gets a notification that CRM updates from the call are ready. On the call or meeting record, under Update CRM properties, hovering over Source shows the moment in the transcript behind each suggestion; the rep approves, rejects or edits first. From the deals index, Review data suggestions lists every pending one, and Approve all clears a single deal at once.
- Output. Approved values land on the deal, and action items become tasks with Create task. Since 31 August 2026, Notetaker recordings create meeting records only, so reports that counted calls need a second look.
On Attio: build the same job as a workflow
- The recorder. Call recording is on Pro and Enterprise. Each member sets auto-record to External meetings, which joins only calls with at least one outside participant; everyone on the call can see that it is being recorded and can refuse the recorder entry, per the recording setup guide.
- Trigger. In a new workflow, Call recording created fires for calls that were recorded and transcribed, a short time after the call ends. Its outputs include the summary, the transcript with timestamps and speaker names, and the meeting with its linked records, per the block library.
- Find the deal. Attio links people and companies to meetings by itself, not deals, so a Find records block on Deals, filtered on the linked company, fetches the open deal.
- The agent step. A Custom agent block gets the transcript and the deal's current values, with Output mode set to Structured and one property per field from your list. Its system prompt sets the rules: cite the transcript timestamp for every proposed value, leave a field empty when the call did not settle it, never infer an amount. Speaker names come from the conferencing platform, so the prompt should not treat them as CRM people.
- The human check. Agent outputs are not saved to attributes automatically, and this design keeps it that way. A Create note block writes the proposals with their timestamps onto the deal, and a Create task block gives the deal owner a task, linked to the deal and due the next day: approve or correct the call update. Nothing on the deal changes until the rep edits it.
- Output. A dated note and a closed task per call. Once reps stop correcting a field, add an Update record block for that field alone; How to Use Attio covers building and publishing workflows.
The free version
The free version keeps the judgement with the rep and keeps the typing too, which is fine for a team of two.
- Transcript. Fireflies.ai's Free plan transcribes Zoom, Meet and Teams calls with limited AI summaries and 400 minutes of storage per team, per its pricing page (checked on 26 October 2026). Its consent settings are covered in How to Use Fireflies.ai.
- Template. The same three to five fields as a fixed note: next step with a date, close date, stage, main risk. The rep fills it within the hour, from the summary, and updates the fields by hand.
- Check. Once a week, the manager runs the baseline count. If coverage holds, the paid route buys time, not discipline.
What it costs
| Setup | Paid monthly | Billed annually | AI allowance included |
|---|---|---|---|
| HubSpot Sales Hub Starter | $10 per seat | $7 per seat | 500 HubSpot Credits |
| Attio Pro | $99 per user | $79 per user | 10,000 workspace credits a month |
| Fireflies.ai Free, Pro | $0, $18 per seat | $0, $10 per seat | 20 AI credits |
Checked on 26 October 2026. HubSpot shows both Starter prices against a struck-through $20 on its pricing page, so read the offer's end date at checkout. For example, 4 reps on Starter cost 4 x $10 = $40 a month. A team already on Attio Plus at $44 per user has to move to Pro for the recorder, per the Attio pricing page: 4 x ($99 minus $44) = $220 a month more.
How to know it worked
- Coverage. The share of external meetings whose deal got a next activity within a day, each week, against the baseline.
- Acceptance. Approved against rejected suggestions. A property that keeps getting rejected should leave the eligible list until the prompt or the field definition is fixed.
- Corrections at review. Stages the manager changes in the Monday meeting. That count should fall; if it does not, the approvals are being clicked, not read.
- Holdout. Alternate the first eight weeks. In odd weeks Notetaker joins as usual; in even weeks a Super Admin clears the auto-join checkbox, which the Notetaker article allows, and the reps use the manual template. Compare coverage and corrections between the two sets of weeks.
The two settings to change on day one
HubSpot delivers smart data capture with Call outcome and Meeting outcome already approving themselves, and meters every custom property it fills in HubSpot Credits per transcript, so the settings as shipped lean toward writes no rep has read and runs HubSpot can bill. Clear the two Automated checkboxes before the first call. Begin with standard properties, which cost nothing to capture, and add a custom one only after the acceptance rate says the standard ones are being read.
FAQ
Do participants have to agree to the recording?
HubSpot puts the legal basis on you and offers the Require explicit consent switch, which skips the recording when anyone declines or does not answer, per the Notetaker article. Attio shows every participant that the call is being recorded and lets them refuse the recorder, per its setup guide.
Why did a call produce no suggestions?
HubSpot skips voicemails, recordings shorter than 60 seconds and recordings with fewer than two speakers, and mobile Notetaker recordings get no property suggestions, per the Notetaker article.
Can the agent move the deal stage by itself?
In HubSpot, only for a property whose Automated box is ticked. In the Attio design above, never: the agent writes a note and a task, and only an Update record block you add would let it change the stage.
