The short answer: a ten-person sales team that sends 120 proposals a month and needs a manager to approve discounts pays Better Proposals $5,040 a year on Enterprise, at $42 per user a month billed annually with unlimited sends and manager approvals, against $7,800 a year on Proposify Grow, its first plan with approval workflows, at $780 per user a year. If nobody needs to approve anything, Proposify Build gives the same ten people unlimited documents for $4,680 a year, where Better Proposals Premium would stop the whole account at 50 sends a month. Prices from the Better Proposals and Proposify pricing pages, checked on 26 October 2026.

Three checks against last quarter:
- Price the plan that holds your approval rule. For example, 10 x $42 x 12 = $5,040 on Better Proposals Enterprise; 10 x $780 = $7,800 on Proposify Grow; 10 x $468 = $4,680 on Proposify Build, which has no approval workflows. Inputs from the Better Proposals and Proposify pages, checked on 26 October 2026.
- Count what you sent. Take last quarter's proposals from your CRM or shared drive and divide by three. For example, 360 proposals is 360 / 3 = 120 a month, beyond Better Proposals Premium's 50, so on Better Proposals the comparison starts at Enterprise.
- Time the sign-off. Measure how many hours a discounted proposal now waits for a manager's yes. That number is what an approval workflow is supposed to shrink, so take it before the trial.
Proposify changes what you pay for. Better Proposals rations sends by plan and gives every plan the same editor; Proposify gives every plan unlimited documents and signatures and charges for control: roles, approval workflows and account metrics on Grow, then a platform fee on Scale.
What a team pays at each size
| Sellers and monthly volume | Better Proposals, billed annually | Proposify, billed annually |
|---|---|---|
| 1 seller, under 10 sends | Starter: $13 a month | Build: $39 a month |
| 5 sellers, 40 sends, no approvals | Premium: 5 x $21 = $105 a month | Build: 5 x $39 = $195 a month |
| 5 sellers, 80 sends, manager approvals | Enterprise: 5 x $42 = $210 a month | Grow: 5 x $65 = $325 a month |
| 10 sellers, 120 sends, manager approvals | Enterprise: 10 x $42 = $420 a month | Grow: 10 x $65 = $650 a month; Scale: $12,800 a year including 10 users |

Sends, sign-off and commitment
What one more proposal costs
Better Proposals allows 10 sends a month on Starter, 50 on Premium and unlimited on Enterprise, per its pricing page; the allowance is pooled across the account, resets on the first of the month and is not pro-rated, per its sending limit article. Proposify lists unlimited documents and signatures from Build up, per its pricing page, checked on 26 October 2026. So the 51st proposal of the month costs nothing extra on Proposify, and on Better Proposals Premium it waits for the first of next month or for an upgrade.
Who can stop a proposal going out
Proposify's approval workflows, on Grow, require sign-off when conditions are met, and its plan table names the conditions: the price total, the discount percentage and the line item discount percentage. Grow also adds user roles and permissions, which Proposify says can lock pages and page elements by role, per the pricing page. Better Proposals puts manager approvals, content locking, simultaneous editing and advanced permissions on Enterprise, per its plan list. Write your rule down, such as any discount above a set percentage, and check that the trial enforces it rather than suggests it.
How long you sign up for
Better Proposals bills every plan monthly or annually, with annual saving up to 35%, per its pricing page. Proposify's Build can be paid monthly at $49, quarterly at $147 or yearly at $468 per user; Grow and Scale are billed annually, and Scale carries a $12,800 platform fee covering 10 users, with extra users at $780 a year, per its pricing page checked on 26 October 2026.
The two price cards
Better Proposals charges $13, $21 or $42 per user each month for Starter, Premium and Enterprise when paid yearly, and $19, $29 or $49 when paid month by month, according to its pricing page as checked on 26 October 2026. Its follow-up add-on, Nudge, is $10 per user a month, and its designers start at $1,495 for a custom template.
Proposify, per user, on its pricing page, also checked on 26 October 2026: Build $39 a month billed annually or $49 monthly; Grow $65 a month, billed annually; Scale $12,800 a year for 10 users. Custom template design costs $1,500, and a Launch Kit with onboarding and 30 days of priority support $2,000.
One AI step that stays a draft
Proposify's MCP connection, included from Build, lets Claude or ChatGPT add contacts and work on proposals and templates in plain language, per its MCP article. There is no connect button inside Proposify yet: you add the connector address in the assistant's settings, and on a Claude Team or Enterprise plan an owner adds it first. After a call, ask the assistant to add the buyer as a contact and start a proposal from your standard template. The rep opens the draft in Proposify, fixes scope and price, and the approval workflow decides whether it can go. Proposify's own advice is that the assistant drafts and you finish; it cannot yet find a proposal by name, so paste the link when you want it to edit one.
Choose Better Proposals if your job is
- Sending fewer than 50 proposals a month across a team, at the lowest seat price of the two.
- Moving a signed client straight into onboarding forms and next steps from the same document, which its AI page describes alongside payment through Stripe, PayPal or GoCardless.
- Keeping monthly billing on every plan while the team's size settles.
Choose Proposify if your job is
- Sending as many proposals as the pipeline produces, without counting.
- Enforcing discount rules through approval workflows with stated conditions.
- Reporting time to first view, time to create and time to close per rep, which its account metrics on Grow provide.
A free run before the contract
Both offer a 14-day trial without a card, on the Better Proposals and Proposify pages. Spend it on one real proposal that needs a discount approved, end to end, in each tool. Proposify's Grow plan is the one that adds the approval workflow a sales manager asks for, and it is sold only by the year, so that control arrives with a twelve-month commitment for every seat; settle in the trial whether a written discount rule, checked by the head of sales before anything is sent, would do the same job for less.
