The short answer: a three-person consultancy sending 15 proposals a month pays Better Proposals $63 a month on Premium, three seats at $21 billed annually, against $105 on Qwilr Starter at $35 a seat; Qwilr's next plan, Growth, starts at five seats and is billed only by the year. Both price lists were checked on 26 October 2026 on the Better Proposals and Qwilr pricing pages. Choose Qwilr when proposals are interactive sales pages, analysed across every deal by a team that will grow past five. Choose Better Proposals when a small team wants proposal, signature, payment and onboarding at the lowest seat price.

Before any demo, a rough guide:

  1. Three seats, two billing choices. For example, 3 x $21 = $63 a month on Better Proposals Premium billed annually, or 3 x $29 = $87 monthly; Qwilr Starter is 3 x $35 = $105 billed annually or 3 x $49 = $147 monthly. If you outgrow Starter, Qwilr Growth costs at least 5 x $55 x 12 = $3,300 a year. Figures from the Better Proposals and Qwilr pricing pages, checked on 26 October 2026.
  2. Start from the CRM you have. Qwilr Starter includes HubSpot, Zoho and Pipedrive integrations, while its Salesforce integration sits on Scale, which starts at ten seats, per its pricing page. Better Proposals lists CRM integrations from Premium on its own. Check your own CRM's name against the plan you would buy.
  3. Decide what you will read in the analytics. Both show which sections a client opened and for how long. Pick the one signal you will act on, such as the pricing section opened twice in a day, and check that each tool alerts you to it.

Qwilr changes where the proposal lives and how the team is counted. A Qwilr proposal is a hosted web page with live edits, priced per user with a seat floor on each plan above Starter. Better Proposals also sends a web link, but sells by user and by monthly sends, with no seat floor at all.

Seats, payment fees and the legal page

Who counts as a seat

Qwilr's FAQ says Starter includes one seat, Growth starts at five and Scale at ten, that seats can be added at any time, and that reductions take effect only at renewal, per its pricing page. A three-person firm that needs Growth's automations, custom branding or identity verification pays for five. Better Proposals' Premium and Enterprise plans list unlimited users, and its limit is the monthly send count, 50 on Premium, per its pricing page, checked on 26 October 2026.

What the money costs to collect

Qwilr charges its own application fee on payments taken through QwilrPay: 0.09% per transaction on Starter and 0% on Growth and Scale, on top of Stripe's processing fees, per the FAQ on its pricing page. For example, a €20,000 retainer paid through Starter carries 20,000 x 0.0009 = €18 in Qwilr's fee before Stripe's (fee schedule checked on 26 October 2026). Better Proposals connects your Stripe, PayPal or GoCardless account and can charge at the moment of signing, per its AI page.

Which law the signature page cites

Qwilr's e-sign page says its signatures comply with Australian law, which it describes as aligned with the US ESIGN Act and UETA, and recommends local legal advice. A European reader can check the EU baseline directly: Article 25(1) of the eIDAS Regulation, in the version consolidated on EUR-Lex and checked on 26 October 2026, says an electronic signature shall not be denied legal effect, or admissibility as evidence in legal proceedings, solely because it is in electronic form. Better Proposals' plan table lists "US and EU Legislation Compliant". Neither page offers a qualified signature.

What the plans cost

Better Proposals has three plans, all priced per user a month on its pricing page (checked on 26 October 2026): a single-user Starter capped at 10 sends, at $13 on yearly billing or $19 monthly; Premium with 50 sends, at $21 or $29; and Enterprise with no send cap, at $42 or $49.

Qwilr, per user a month in USD on its pricing page, checked on 26 October 2026: Starter $35 billed annually or $49 monthly; Growth from $55 with five users minimum, annual only; Scale from $75 with ten users minimum, annual only. API use carries separate usage costs on every plan.

One AI step, CRM to draft

Qwilr's MCP page says the connection works with Claude, ChatGPT, Cursor and Windsurf on every plan, and lets the assistant build a proposal from your existing templates using deal details pulled from a CRM record. After a discovery call, point the assistant at the deal in your CRM and ask for a proposal from the consulting template. The consultant who ran the call reads the scope and every price line in Qwilr before the link goes out. The same page describes a standing weekly check-in posted to Slack on which deals have gone quiet; read it as a prompt for a phone call, not as a verdict on the deal.

Choose Better Proposals if your job is

  • Selling services with a team of one to a handful, at the lowest seat price here.
  • Taking the deposit and starting onboarding from the signed proposal.
  • Adding colleagues without counting seats against a minimum.

Choose Qwilr if your job is

  • Sending proposals as interactive sales pages that you edit live after sending.
  • Reading engagement across every deal, from your AI assistant on any plan.
  • Running a sales team of five or more that wants automations and branding on Growth.

What to keep when you leave

Both trials last 14 days without a card. Use the free days to settle what you keep when you leave, because a Qwilr proposal is a page on Qwilr's servers: the pricing FAQ says pages stay live for 30 days after a trial ends and are turned off once a cancellation takes effect, so the record of what a client saw is rented with the seat. Download the signed audit trail Qwilr emails at signature, and keep a PDF of every accepted proposal from either tool in your own drive.
