Databox vs Power BI: Ready-Made KPIs or a Model You Build

The short answer: if nobody on the marketing team writes DAX and the numbers come from Google Ads, Meta Ads, GA4 and HubSpot, Databox gets you there without building a data model: it connects to all four natively, and Team Core costs $249 a month billed monthly, or $199 annually, for 3 users and 10 data sources (Databox pricing). If an analyst already models company data in Microsoft's stack, Power BI Pro at $14.00 per user a month paid yearly is by far the cheaper seat, and it comes inside Microsoft 365 E5 (Power BI pricing). Both checked on 26 October 2026. Microsoft's connector list has no Google Ads, Meta Ads or HubSpot connector, so that data needs a sheet, a warehouse or a third-party tool (Power Query connectors).

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

These two are neighbours more than rivals: Databox's own FAQ places it beside Power BI, Tableau or Looker Studio, serving the people who never open them (Databox pricing FAQ). Power BI models and visualises data for a whole company. Databox is a KPI layer with an AI analyst, built for a marketing lead who has no analyst.

Count heads before features:

  1. Price the readers, not only the builders. For example, 2 analysts who build and 8 managers who read is 10 people, and in Power BI each needs Pro to open shared content unless it sits in Premium capacity, so 10 x $14.00 = $140 a month paid yearly. On Databox, 10 users is Team Scale at $399 a month billed monthly (Power BI pricing, Databox pricing). The seats favour Microsoft. Whether those 2 analysts exist decides the rest.
  2. Start from the licences and sources you already have. If the company runs Microsoft 365 E5, Pro is already paid for. Then list every source the dashboard needs and check it against both connector lists: Databox shows GA4, Google Ads, Facebook Ads, LinkedIn Ads and HubSpot among its 130+ integrations (Databox integrations).
  3. Agree five numbers with finance before the trial. Revenue, leads, spend, cost per lead and pipeline, defined once. In week four, check both tools against finance's five, and count the questions managers answered without the analyst.

Where they part

Who has to be on the team

Power BI assumes a modeller. Its strength is the semantic model, one governed set of tables, measures and security roles that every report and Copilot answer builds on, and Microsoft's Copilot page warns that without that preparation Copilot can misread the data (Copilot overview). Databox assumes nobody models: thousands of ready metrics, each with a definition and an owner, and Genie to build the one you describe (homepage). One needs a person the other is designed to do without.

What a reader costs

Power BI's free licence is a personal sandbox, with no sharing in either direction (licence guide), so every reader costs a Pro seat unless the company pays for P1 or F64 capacity. Databox includes a set number of users in each plan and does not charge per seat (pricing FAQ). On E5, the question disappears.

How the marketing data gets in

Databox connects to the ad platforms and the CRM directly. Power BI connects natively to Google Analytics, BigQuery, Google Sheets and Salesforce, but not to Google Ads, Meta Ads or HubSpot (Power Query connectors). Teams bridge that with a connector tool that lists Power BI as a destination, such as Windsor.ai (Windsor.ai pricing), or with a warehouse. That is one more subscription and one more place for a number to go wrong.

An agent that edits the model, with the analyst reviewing

Microsoft documents an agent step for the builder. The Power BI Authoring MCP server lets an assistant such as GitHub Copilot in VS Code create and change measures, relationships and tables, and document a model; run locally against Power BI Project (PBIP) files, its changes go through your normal source control and review (MCP overview). So "add a cost-per-lead measure and document it" becomes a diff the analyst reads before merging and publishing. On Databox, Genie can create the same custom metric from a description, and a person checks the figure, as Databox's own note advises (Genie article).

The prices, as each vendor states them

Power BI, from Microsoft's pricing page, read on 26 October 2026: a free account for building, Pro at $14.00 per user a month paid yearly, Premium Per User at $24.00, and Embedded priced variably. Pro is included in Microsoft 365 E5 and Office 365 E5, and a Pro holder can step up to Premium Per User for $14.00 more. Checkout shows the price for your country.

Databox, from its pricing page on the same date, monthly billing with annual billing after the slash: Free $0; Analyst $89 / $71 for 1 user and 5 sources; Team Core $249 / $199 for 3 users and 10 sources; Team Scale $399 a month for 10 users and 30 sources; Agency from $99 / $79 with unlimited users. Annual billing saves 20%.

Build the same three numbers free in each

Power BI Desktop is a free download, and the free account takes a report into the service for yourself (Power BI pricing). Databox's Free plan gives 1 user, 3 data sources and a dashboard (Databox pricing). Build the same three KPIs in both, from the same sources, and time it. The free Power BI build leaves one thing untested: Desktop costs nothing to build in, and the meter starts at sharing, when every colleague who opens the report needs Pro at $14.00 a month on a yearly commitment unless the company already pays for P1 or F64 capacity (licence guide). The Databox how-to shows the goal-tracking side.

Choose Databox if your job is

  • Weekly marketing KPIs from ad platforms, GA4 and the CRM, tracked against goals, with no analyst.
  • Plain-language questions from managers, answered by Genie without capacity licensing.
  • A KPI layer beside an existing BI tool, for the people who never open it.

Choose Power BI if your job is

  • Company-wide reporting built on a governed model that finance, sales and marketing all share.
  • A team that already has an analyst, and a Microsoft 365 licence that may already include Pro.
  • Data that already sits in a warehouse, BigQuery or Salesforce, which Power BI reaches natively.

Databox vs Geckoboard covers the live wall-screen alternative, and the Databox entry lists every tier.

When the choice keeps stalling

Sometimes neither trial settles anything, because nobody owns what "lead" or "pipeline" means and each tool is asked to show a different version. Then the gap is a role rather than a licence, and it is the work an interim CMO does before handing it on to a permanent hire, which I sell.

FAQ

What does Premium Per User add over Pro?

Larger models, 100 GB against 1 GB, and 48 refreshes a day against 8, at $24.00 per user a month paid yearly (Power BI pricing).

Does Copilot in Power BI work on a Pro licence alone?

No. Microsoft lists paid Fabric capacity at F2 or higher, or Premium P1 or higher, as the minimum, and trial capacities and free SKUs are not supported (Copilot overview).

Does Databox need a data warehouse?

No. It connects directly to 130+ tools, and its datasets clean, merge and filter raw data inside Databox (pricing FAQ).
