Beautiful.ai vs PowerPoint: When a Second Slide Tool Pays

The short answer: if your company already pays for Microsoft 365 Business Standard with Copilot, $23.50 per user a month paid yearly, PowerPoint and its Copilot are on the invoice and should be your default for decks (Microsoft 365 business plans, checked on 26 October 2026). Beautiful.ai pays for itself only where slides keep drifting off-brand or the same few people lose hours to alignment: its Pro plan adds $14.50 a month per person on annual billing (Beautiful.ai pricing). Choose PowerPoint if your job is full control of every slide inside the Microsoft estate. Choose Beautiful.ai if your job is fast, consistent decks from people who are not designers.

Do the sums before the demo:
- Price the deck builders, not the company. Most firms have a handful of people who build decks and a crowd who present them. For example, four builders on Beautiful.ai Pro cost 4 x $14.50 x 12 = $696 a year on top of Microsoft 365, using the Beautiful.ai pricing page. That figure is what the hours saved have to beat.
- Start from the corporate template you already have. Microsoft's own advice is to open your organization's standard template before asking Copilot for a deck, so it builds with the existing theme and layouts (Copilot in PowerPoint). For colleagues who will not leave PowerPoint, Beautiful.ai sells an add-in that brings its design AI into the PowerPoint interface (integrations page).
- Count what goes wrong today. At the next quarterly review, count the slides someone had to fix for logo, font or spacing before the deck went out, and note the hours the deck took. Repeat after a month on the tool you choose.
What each one gives you
| Item | PowerPoint in Microsoft 365 | Beautiful.ai |
|---|---|---|
| How you pay for it | Inside a Microsoft 365 plan; Business Basic has web and mobile apps only | A separate subscription per person |
| Drafting with AI | Copilot rewrites, reorganizes and adds slides; it can build a deck from a Word file | Unlimited AI content generation in every seat |
| Layout | Free canvas: you place and align every element | Smart Slides keep spacing and alignment as you type |
| Brand rules | Brand Kits an organization publishes for Copilot; the corporate template | Custom themes, locked slides and a shared library on Team |
| Rehearsal | Speaker Coach on pacing and pitch | Recorded or uploaded voice-overs inside the deck |
| File format | Native .pptx | PowerPoint import and export in every seat |
| Single sign-on | Identity management in the business plans | Enterprise plan |

Where the choice turns
Who fixes the alignment
PowerPoint gives the editor every lever, which suits complex, data-heavy slides and is also why decks from twelve people look like twelve decks. Beautiful.ai removes most of those levers: the layout engine decides spacing and hierarchy, and the person typing decides content. If your decks are built by people whose job is selling, the second model wastes fewer evenings.
Where the brand rules live
In Microsoft 365, the rules live in a template file and, for Copilot, in Brand Kits that someone publishes for the organization; Copilot asks which kit to use when the organization requires one (Copilot article). Nothing stops a presenter from dragging a logo afterwards. Beautiful.ai's Team plan adds locked slides and version control, so the pricing slide stays the pricing slide (pricing).
What is already paid for
A second tool means a second login, a second set of templates and a second renewal date, and none of that shows on a pricing page. Count it anyway.
Prices side by side
Checked on 26 October 2026, Microsoft lists Business Basic at $7.00, Business Standard with Copilot at $23.50 and Business Premium with Copilot at $32.00, each per user a month paid yearly, for 1 to 300 users (business plans). For individuals, PowerPoint for the web is free, and Microsoft 365 Personal costs $99.99 a year (PowerPoint page).
Beautiful.ai, also checked on 26 October 2026, lists Pro at $14.50 a month billed annually or $45 billed monthly, Team at $40 a month billed annually or $50 billed monthly, and Enterprise on quote (pricing page). The Team card says the price includes 3 users while the FAQ charges it per user for 2 to 20 seats, so ask which applies before paying.
A first draft from a Word brief, with Copilot
Microsoft documents the steps (Copilot in PowerPoint). Open the corporate template, start a new presentation, and open Copilot Chat from the icon at the bottom right. If your organization requires a Brand Kit, pick it under Select brand. Point the prompt at the campaign brief in Word: Microsoft notes that Copilot reads a document's Styles to decide where slides break, uses its images, and recommends Word files smaller than 24 MB. Answer its clarifying questions about audience and length, or let it decide.
Then the human part. The brief's owner reads the draft slide by slide against the Word file: every number, every product name, every claim about a customer. Copilot drafts; it does not sign off. For a deck that carries results or comparisons, the review in Draft a Sales Deck With AI, Then Source Every Number applies whichever tool wrote it. Beautiful.ai's equivalent route is its MCP connector or the AI flow inside the editor, covered in Beautiful.ai vs Canva.
How Beautiful.ai's trial ends
The trial is built to end in an invoice. Beautiful.ai's help centre asks for a debit or credit card before the 14 days start and says billing for Pro begins automatically when they end (trial article), and the pricing FAQ adds that monthly subscriptions are non-refundable (pricing). Put the cancellation date in the calendar on the day you enter the card.
Test with what you own, then choose
The free step comes first: rebuild five slides of last quarter's deck in the PowerPoint you already license, from the corporate template, with Copilot if your plan includes it, and time it. Then do the same five in Beautiful.ai's trial. If the gap is minutes, keep one tool.
- Choose PowerPoint if your job is decks with complex data, animation or custom visuals, built by people who know the tool, inside a company already on Microsoft 365.
- Choose Beautiful.ai if your job is frequent on-brand decks from salespeople or managers who should never be fixing alignment.
Sometimes the timing test shows a different problem: decks living in PowerPoint, Canva and Beautiful.ai at once, three template libraries and no owner. Then the stack is the issue, not the slide tool, and a fixed one-week review, the Startup Fixer, which I sell, maps it before anyone buys a fourth. The Beautiful.ai entry has the plan details.
FAQ
Does Microsoft 365 Business Basic include Copilot in PowerPoint?
Its plan card lists web and mobile versions of PowerPoint with AI chat, writing assistance and access to agents, while Copilot inside the apps appears on Business Standard and Business Premium (business plans).
Can Beautiful.ai work inside PowerPoint?
Yes, through an add-in that brings its design AI into PowerPoint (integrations page). Decks also export to editable PowerPoint from every paid seat (pricing).
Will imported PowerPoint slides become Smart Slides?
No. Beautiful.ai's template guide says imported slides arrive as Classic Slides and do not adapt, and recommends rebuilding the key ones as Smart Slides.
