The short answer: if your team wins a deal and then has to deliver the work, Capsule's Growth plan puts sales pipelines and project boards in one place at $36 per user a month billed annually, per its pricing page. If selling is the whole job and reps live in their pipeline, Pipedrive's Growth plan at $39 per seat a month billed annually adds sequences and deal-rotting alerts, and sells projects as an add-on, per its pricing page. Both read on 26 October 2026.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

Capsule changes what the CRM is for. It keeps contacts, opportunities and projects side by side, so the person who sold the job and the person who runs it read the same history. Pipedrive stops at the signature, on purpose, and spends its effort on getting there.

Red flags to check first:

  1. The seat bill is close; the extras are not. For example, four users: Capsule Growth is 4 x $36 x 12 = $1,728 a year and Pipedrive Growth is 4 x $39 x 12 = $1,872. The gap is $144. What moves the total is projects (an add-on on Pipedrive's Growth, from $16) and email marketing (Transpond on Capsule, from $11; Campaigns on Pipedrive, from $13.33). Prices from the Capsule and Pipedrive pricing pages.
  2. Capsule caps contacts by plan. Count yours now. Capsule allows 250 on Free, 30,000 on Starter, 60,000 on Growth and 120,000 on Advanced, per its pricing page. A list of 45,000 rules Starter out before features enter the conversation. Pipedrive prices seats instead, with usage limits of its own, such as the open-deal limit its automations guide mentions.
  3. Measure the handover. Take the last ten won deals and count the days from signature to the first delivery task. If that number is the problem, the project boards are the reason to buy. If it is not, judge both tools on the pipeline alone.

The differences that decide it

Life after the signature

Capsule's Growth plan includes multiple project boards, and its workflow automations can set off a series of tasks, notifications or stage changes on a pipeline or a project board, so delivery steps can follow a sale without a second tool. In Pipedrive, the plan features article lists Projects as a paid add-on on Lite and Growth and included on Premium and Ultimate. Agencies, consultancies and installers feel this difference every week; a SaaS sales team rarely does.

Marketing email from the same vendor

Transpond is Capsule's own email marketing suite. Its integration page describes two-way sync of tags, lists and custom fields, triggers when an opportunity is created or closed, and the three most recent communications shown on the contact in Capsule. Pipedrive answers with its Campaigns add-on. Both keep marketing near the record; Capsule's version is a separate product built to sit beside it.

How each plan stops you

Capsule stops you at a contact count, and its FAQ adds that downgrading means removing contacts above the lower plan's cap, for example 30,000 of them to go from Growth to Starter. Pipedrive stops you at features: sequences and automations need Growth, lead routing and scoring need Premium. Know which ceiling you will hit first.

Prices, checked on 26 October 2026

Capsule, per user a month billed annually, on its pricing page: Free for up to 2 users, Starter $18, Growth $36, Advanced $54, and an Ultimate plan for teams of 5 or more with no price shown. Its FAQ says there are no setup fees and onboarding costs nothing.

Pipedrive, per seat a month, on its pricing page in USD excluding VAT: Lite $14, Growth $39, Premium $59, Ultimate $79 billed annually, or $24, $49, $79 and $99 billed monthly. Add-ons start at $32.50 for LeadBooster, $16 for Projects, $13.33 for Campaigns and $41 for Web Visitors.

One page, two discounts: Capsule's toggle promises that annual billing saves up to 18%, while its FAQ, on the same page, says up to 15%. A billing toggle is there to move you to the annual plan. Read the price on the invoice preview, not the banner.

An AI step: the briefing before a renewal call

Capsule's AI page documents AI Summaries on Growth: a summary of the recent emails, notes and activity on a contact, opportunity or project, up to the last 50 activities. Before a renewal call, the account owner opens the project and reads the summary. The human check is short and fixed: open the two most recent emails yourself before dialling, because a summary is a briefing, not the record. Capsule's pricing FAQ adds that it never uses your data to train AI models.

Choose Capsule if

  • Your job is selling work and then delivering it, and both halves should share one history.
  • You want email marketing from the same vendor, synced both ways.
  • Your contact list fits inside a plan's cap with room to grow.

Choose Pipedrive if

  • Your job is closing deals, and delivery happens in another tool or another team.
  • Reps need sequences and alerts for deals that sit too long in a stage.
  • You expect to add lead capture and routing later, which Premium bundles.

Try the free route first: Capsule's free plan holds two users and 250 contacts with no time limit stated, enough to run one pipeline for a month; Pipedrive gives 14 days with no card. Run the same ten deals through both. More detail: Capsule and Pipedrive.
