The short answer: if you run a small business with a list under 5,000 contacts and want newsletters, a pipeline and a help desk on one login, EngageBay Growth does it for $64.99 a user each month when billed monthly, or $55.24 on a two-year term, per its pricing page. If you run a sales team of three or fewer that wants a CRM with workflow rules at no cost, or a larger team that will add marketing and support apps only when it needs them, Zoho CRM's free edition and its $14 Standard edition fit, per the Zoho CRM pricing page. Both checked on 26 October 2026.

One EngageBay licence covers more ground than one Zoho CRM licence. Its All-in-One plan carries marketing, sales and service modules together, priced per user and capped by contacts. Zoho CRM is the sales record at the centre of a family: email marketing, the help desk and the lighter Bigin pipeline are separate Zoho products, each with its own plan, or bundled as Zoho CRM Plus. Zoho's CRM goes deeper, and its edition list shows it. For a five-person business, though, depth it never configures is not a feature.
Settle the term and the list first:
- Price the billing term you would commit to. For example, five users on EngageBay Growth come to 5 x $64.99 = $324.95 a month billed monthly, or 5 x $55.24 = $276.20 on the two-year term. Five users on Zoho Standard come to 5 x $20 = $100 billed monthly, since the free edition stops at three. Figures from the EngageBay and Zoho pricing pages. The EngageBay figure includes email marketing and a help desk; the Zoho figure does not.
- Count the contacts you hold today. EngageBay's tiers stop at 250, 500, 5,000 and 10,000 contacts, and past 10,000 its pricing page asks you to book a call. A list of 6,000 rules out Growth before features come into it.
- Pick the one number this purchase must move. Lead-to-deal time if sales is the bottleneck, first reply time on support tickets if service is.

What decides it
What one login covers
EngageBay sells Marketing, CRM and Sales, and Service as modules you can buy apart or together, and the free plan already includes a help desk and live chat. Zoho keeps the CRM focused on selling and sells Zoho Campaigns for email marketing and Zoho Desk for support as separate products on the same site. If one invoice and one login are the point, EngageBay is built for that. If each team wants its own specialist tool that shares one customer record, Zoho is built for that.
What the cap is on
EngageBay caps contacts. Zoho caps users on its free edition and otherwise prices by user. A business with a large list and a small team strains EngageBay first; a business with many sellers and a short list strains Zoho's bill first.
What an outside AI agent may do
EngageBay's MCP server lets an assistant read and write five kinds of record, from contacts and companies to deals, tasks and appointments, and its FAQ rules out deletion: records can be created and updated, never removed. Zoho splits its access across four MCP servers: one read-only, one for record operations that include delete, one for fields and layouts, and one for workflow rules. Zoho gives you more reach; EngageBay gives you fewer ways to break something.
An agent that inventories your rules before you move
Whichever way you are moving, list what the current system does first. Zoho's workflow server answers that in plain language; its documented example is "List all active workflow rules in the Leads module." Install that server in Claude Desktop or Cursor, run the prompt for each module you use, and paste the answers into a sheet with one row per rule. An admin then marks each row keep, rebuild or drop, and the agent is never asked to change a rule, because the same server can also create and update them. The human check is that sheet. Every action stays within the signed-in user's Zoho permissions, and the calls use API credits, per the MCP overview. On EngageBay, the MCP page suggests jobs such as finding deals that are stalling or summarising a contact's history.
Free first, on both sides
EngageBay's homepage advertises the free plan for up to 15 users, no credit card needed, and its pricing page offers migration from another platform at no charge. Zoho's free edition covers 3 users, and its paid editions have a 15-day trial without a card, per its developer documentation. Run your current week through both free tiers before any paid tab is clicked.
EngageBay's pricing page opens on the biennial tab, where Growth reads $55.24, so the first price a buyer sees is the one that commits them for 24 months and hands the vendor two years of revenue up front. Click Monthly, price that, and choose the longer term only after the free plan has proved the fit.
Choose EngageBay if your job is
- Running newsletters, a sales pipeline and a support inbox from one login, on a list that fits its contact caps.
- Keeping marketing automation, proposals and a help desk on one invoice.
- Giving a small team access free of charge while the business finds its process.
Choose Zoho CRM if your job is
- Running a sales team of up to three on a free CRM with workflow rules.
- Adding Zoho's support, email marketing or finance apps only when each team needs them.
- Configuring a deeper sales process, with process management, approvals and a sandbox.

If the tools are not the problem
Many businesses look at an all-in-one because the newsletter tool, the CRM and the help desk stopped talking to each other years ago. In that case no single product is at fault; the connections between them are, and they are worth mapping before anything is consolidated. The Startup Fixer, a one-week review I sell, does that mapping.
FAQ
Is EngageBay Basic a monthly plan?
The Monthly tab on the pricing page shows Basic at $14.99 per user a month but labels it paid yearly, so confirm the term with EngageBay before counting on a monthly exit.
Does Zoho CRM send newsletters?
Standard and above include email integration and mass emails, per the Zoho CRM pricing page. For campaigns to a marketing list, Zoho sells Zoho Campaigns as a separate product, or Zoho CRM Plus, the bundle of Zoho's sales, marketing and support apps, listed from $20 per user a month.
Can an AI agent delete records in either?
Not through EngageBay's MCP server, which creates and updates records but never deletes them. Zoho's data operations server can delete records, so for a first connection use its read-only Data Insights server, per the MCP overview.
