The short answer: with four people doing the marketing and a list under 5,000 contacts, you are buying automation on a budget, and EngageBay's Growth plan puts marketing automation and 25,000 branded emails behind $64.99 per user a month on monthly billing, per its pricing page. Pick HubSpot when the list, the team or the reporting will outgrow that: its full workflows start on Professional, where Marketing Hub costs $800 a month billed annually for 3 Core Seats and 2,000 marketing contacts, plus a required one-time $3,000 onboarding, per the Marketing Hub pricing page.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

Both sell CRM, email marketing and a help desk under one login. The gap is where on the price ladder each one hands you automation, and what happens when the list keeps growing.

Before you switch:

  1. Put the two first years next to each other. For example, four users on EngageBay Growth at monthly billing cost 4 x $64.99 = $259.96 a month, so 12 x $259.96 = $3,119.52 a year. HubSpot Marketing Hub Professional costs 12 x $800 + $3,000 = $12,600 in its first year, using the EngageBay and HubSpot pricing pages.
  2. Count two numbers in your current list. EngageBay's caps count every contact, 5,000 on Growth and 10,000 on Pro. HubSpot bills the contacts you mark as marketing contacts, the ones you plan to email or target with ads, per its knowledge base. Export your list and count both: everyone you store, and everyone you email.
  3. Take a baseline from the nurture you run today. Note the share of new sign-ups who book a call or reply within 30 days. Run the rebuilt sequence for 60 days in the new tool and compare the same figure.

From the EngageBay pricing page, HubSpot's Marketing Hub pricing, its free CRM page and its workflows article, read on 26 October 2026. EngageBay's page does not say whether its branded email allowance is per month.

Where automation starts

EngageBay lists marketing automation from Growth, at a per-user price, and its plan comparison carries rows for workflows, nodes and triggers. HubSpot's Starter has simple marketing automation; the workflows article lists Professional and Enterprise editions for building workflows. For a small team that wants a welcome series, lead scoring and a branch on whether someone clicked, EngageBay Growth is the cheaper door by a long way. For a team that needs email approvals, multi-touch attribution and segments shared with sales and service, HubSpot's Professional and Enterprise tiers are where those live.

What happens at 10,001 contacts

EngageBay's Pro plan stops at 10,000 contacts, and the pricing page asks you to schedule a call for more. HubSpot's Enterprise edition lists 10,000 marketing contacts, and its page sends you to a price calculator for more. Neither publishes the price of the next step on the plan card. If your list is near 10,000 and growing, ask both vendors for the next tier in writing before you migrate anything.

Prices by billing term, checked on 26 October 2026

PlanMonthly billingLongest term shown
EngageBay Basic, per user$14.99, labelled paid yearly$12.74 on the biennial tab
EngageBay Growth, per user$64.99$55.24 on the biennial tab
EngageBay Pro, per user$119.99$101.99 on the biennial tab
HubSpot Marketing Hub Starter, per seat$10$7 billed annually, beside a list price of $20
HubSpot Marketing Hub Professional, 3 Core Seats$890 a month, annual commitment$800 a month billed annually

In USD, from the EngageBay pricing page and the Marketing Hub pricing page, checked on 26 October 2026. EngageBay's tabs put the yearly discount at 8% and the biennial at 15%. HubSpot's extra Core Seats on Professional start at $45 a month, and its Starter price is an offer for new customers. EngageBay lists free migration from another platform, and free onboarding sessions in its plan comparison.

An agent that writes to the CRM but cannot delete

EngageBay runs a hosted MCP server that gives an AI assistant read and write access to contacts, companies, deals, tasks and appointments. Records can be created and updated but never deleted, and access is limited to what the connecting user may see.

One step of a weekly job, done this way: after a webinar, the marketing lead pastes the attendee notes into the assistant and asks it to update each attendee's contact, add a deal for anyone who asked for a demo, and set a follow-up task for the owner. The human check: before any sequence fires, the lead opens the day's new deals and changed contacts in EngageBay and corrects what the agent got wrong, and disconnects the agent from the same settings if it misbehaves.

Start on the free tiers

EngageBay's homepage describes its free plan as free for 15 users with no credit card, with 250 contacts on the pricing page. HubSpot's free CRM holds 1,000 contacts for two users. Build your welcome email and one form in each; you will know within a week which builder your team can live with.

That same homepage sells EngageBay as HubSpot power at a fraction of the cost. A vendor that names a rival in its headline has picked the comparison it wins, which here is price. The comparison it leaves out is what happens past 10,000 contacts, so make that one yourself.

Choose EngageBay if

  • Your job is running nurture email, forms and a simple pipeline on a small budget, for a list that fits inside the Pro plan's cap.
  • You want marketing automation without a four-figure monthly platform fee or an onboarding charge.
  • A help desk in the same login is useful but not central.

Choose HubSpot if

  • Your job is coordinating marketing, sales and service teams on one customer record as the company grows.
  • You need approvals, multi-touch attribution or behavioural event triggers, which HubSpot lists on Enterprise.
  • The budget covers Professional and its onboarding fee.
