The short answer: for a sales team of three people or fewer that wants automation without a bill, Zoho CRM wins outright: its free edition covers 3 users and includes workflow automation, on the Zoho CRM pricing page, while Pipedrive has no free plan and starts automations on Growth at $39 per seat billed annually, per its pricing page. Past three users, both start at $14 a seat billed annually. Pick Pipedrive if you want a pipeline the team can sell from in the first week; pick Zoho CRM if someone will configure it and you want Zoho's other apps beside it. Checked on 26 October 2026.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

The matching entry price hides the real difference. Zoho CRM gives away more of the machinery and expects you to assemble it. Pipedrive gives away less and arrives assembled.

Work these out first:

  1. Match the features, then multiply. Forecasting, mass email and form capture start on Zoho's Standard edition; on Pipedrive, forecasting and bulk email start on Growth and lead capture on Premium. For example, six reps on annual billing pay 6 x $14 = $84 a month for Zoho Standard against 6 x $39 = $234 for Pipedrive Growth; on monthly billing, 6 x $20 = $120 against 6 x $49 = $294, using the Zoho and Pipedrive pricing pages.
  2. List the rules your team runs by hand today. The reminder two days after a demo, the hand-off when a deal is won, the task when a lead goes quiet. Take them from the spreadsheet or CRM you use now. Each one becomes a workflow rule in Zoho or an automation in Pipedrive, and the length of the list tells you how much building is ahead.
  3. Pick one of those rules and count how often it fires during the trial. A rule that never fires was not the bottleneck, and the plan that carries it is not the one to pay for.

Three differences that decide it

What you get before you pay

Zoho's free edition lists contact management, follow-up reminders, workflow automation, email templates, data import and export, standard reports, APIs and the mobile apps. That is a working CRM for a small team, not a demo. Pipedrive's 14-day trial is complete but temporary, and when it ends the cheapest seat is Lite, which leaves out email sync and automations.

One app, or one app among many

Pipedrive is one product with add-ons on its pricing page: LeadBooster from $32.50, Projects from $16, Campaigns from $13.33, Web Visitors from $41 and Smart Docs from $32.50 a month. Zoho CRM sits in a family. The same pricing page offers Bigin Express, a lighter pipeline tool, at $7 a user a month billed annually, and Zoho CRM Plus, which bundles sales, marketing and service, from $20. If the help desk and the newsletter are next year's purchases, Zoho has already priced them.

Who builds it

Zoho's editions go deep: process management and CPQ on Professional, approval processes and field-level encryption on Enterprise. Depth needs an owner, someone who will design the rules and keep them clean. Pipedrive's automations are a trigger, conditions and actions, and creating one takes a global admin or a user granted that permission, per its automations guide; according to its pricing FAQ, Pipedrive also implements at no charge once a plan costs $400 a year or more. If nobody on the team wants the admin job, that tilts it toward Pipedrive.

A Friday pipeline review an agent can run without touching anything

Zoho splits its MCP access into four servers, and the Data Insights server is read-only: it queries records, lists modules and reads field schemas, per the Zoho MCP overview. Install only that one in Claude Desktop or Cursor and ask the documented prompt, "Show me all the deals closing this month." The agent returns the list; the sales lead reads it with each owner on Friday, and the owners move the close dates that are no longer true. The human check is built into the choice of server, since this one cannot write. Two details from the same page: actions are scoped to the signed-in user's permissions, and MCP calls use API credits like any other API call, so a busy agent counts against the same limits as your integrations. Pipedrive's MCP server can do the read and the write in one connection, with every change recorded in its change log.

Start free, then decide what to pay for

Run Zoho's free edition with your three most active sellers and the two rules from your list. If the team will not keep a free CRM current, it will not keep a $14 one current either, and you have learned that for nothing. Then load the same open deals into a Pipedrive trial for 14 days and compare the count from step 3.

Both pricing pages lead with $14 because that figure wins the first glance. The features a growing team reaches for next sit a column or two to the right, automations and email sync on Pipedrive Growth, AI agents and process management on Zoho Professional, and that is where each vendor's revenue per seat rises. Price that column, not the first one.

Choose Zoho CRM if your job is

  • Automating a small team's follow-up on a free edition, with paid seats added only when the team grows past three.
  • Running sales next to Zoho's help desk, email marketing or finance apps, on one vendor's bill.
  • Building approvals, custom modules or multi-team rules, with someone who will own that setup.

Choose Pipedrive if your job is

  • Getting reps to work from a visual pipeline in their first week, with little configuration.
  • Getting meeting briefings and transcripts on the cheapest seat.
  • Adding capabilities one paid add-on at a time rather than one edition at a time.

FAQ

Is Zoho CRM free for a team of four?

No. The free edition stops at 3 users; a fourth needs a paid edition, from $14 per user a month billed annually on Standard, per the pricing page checked on 26 October 2026.

Does Pipedrive Lite include automations?

No. Pipedrive's automations guide puts them on Growth and the plans above it, and limits building them to global admins and users who hold that permission.

Does connecting an AI assistant cost extra?

Not as a separate product on either. Zoho says MCP calls consume API credits within your existing limits, on its MCP overview. Pipedrive's MCP comes with every plan, metered in tokens whose allowance depends on the plan, and more tokens can be bought, per its MCP page.
