Salesflare vs Pipedrive: Who Types the Data Into the CRM

The short answer: if your B2B team of three to eight sellers works from Gmail or Outlook and nobody updates the CRM after a call, pick Salesflare: it builds contacts and account timelines from email and calendar, and its Growth plan costs $29 per user a month billed annually on the Salesflare pricing page. If your reps already log their calls and you want stages, automations, sequences and meeting notes in one pipeline, pick Pipedrive, whose Growth plan is $39 per seat billed annually on its pricing page. Both checked on 26 October 2026.

The two answer different complaints. "Nobody fills in the CRM" is the problem Salesflare was built around. "Everything is logged and deals still slip" is the problem Pipedrive sells against, with a pipeline that tells each rep what to do next. Most teams have a little of both, so the useful question is which one is losing you more deals this quarter.
Before you trial either:
- Compare the plans that send sequences, not the plans with the same name. Salesflare puts workflows of several emails on Pro; Pipedrive puts email sequences on Growth. For example, five sellers on annual billing pay 5 x $49 = $245 a month for Salesflare Pro and 5 x $39 = $195 for Pipedrive Growth; on monthly billing it is 5 x $64 = $320 against 5 x $49 = $245, using the Salesflare and Pipedrive pricing pages.
- Open the CRM or spreadsheet you use now and count last week's logged activities per seller. If most open deals show nothing since the last meeting, the gap is data entry, which is the job Salesflare automates. If the activities are there and deals stall anyway, the gap is process, and that is where Pipedrive's automations sit.
- Write down the number you will read on the last day of the trial. For Salesflare, the accounts it created that nobody typed. For Pipedrive, the deals with no next activity scheduled.

What separates them
Who keeps the record current
Connect a mailbox and a calendar and Salesflare starts building: contacts appear, and every account gets a timeline holding the emails your team exchanged with theirs, the meetings from the calendar, calls and internal notes, per its email sync article. Install its website tracking and page visits land there as well. Pipedrive syncs Gmail, Outlook or your own mail server from Growth and tracks opens and clicks, but the stages, values and next steps are still set by people, or by automations someone builds. One tool reduces typing. The other organises the typing you already do.
Where the follow-up emails come from
Salesflare's workflow emails go out through your own mailbox, so the mailbox sets the ceiling: 2,000 a day on Google Workspace or Microsoft 365, 500 on a personal Gmail account and 200 on a custom SMTP server, per its quota article. Pipedrive's automations can send email only from the address synced to Pipedrive, and always from the user who created the automation, per its automations guide. If a manager builds the follow-up for the whole team, check whose name the prospect will see.
What the built-in AI is for
Pipedrive's pricing page puts Nova on every plan: a briefing before each meeting, a transcript of each call and CRM updates afterwards that wait for approval. Salesflare's own pitch is that the capture itself is the automation, and it sends AI work to the assistant you already use, through its app in ChatGPT, its connector in Claude or its MCP server.
Seat prices, checked on 26 October 2026
| Plan | Per user a month, billed annually | Billed monthly |
|---|---|---|
| Salesflare Growth | $29 | $39 |
| Salesflare Pro | $49 | $64 |
| Salesflare Enterprise, 5 users minimum | $99 | $124 |
| Pipedrive Lite | $14 | $24 |
| Pipedrive Growth | $39 | $49 |
| Pipedrive Premium | $59 | $79 |
| Pipedrive Ultimate | $79 | $99 |
Salesflare shows the same figures in dollars and euros on its pricing page, with 5, 100 and 250 lead credits by plan. Pipedrive's pricing page quotes USD before VAT, which EU buyers are charged at their own country's rate unless they supply a valid VAT number, and lists add-ons from $13.33 for Campaigns to $41 for Web Visitors.
One task for an assistant: call notes into records
Pipedrive's MCP page offers this example prompt: "Here are my notes from today's call. Create a deal, contact and follow-up activity." Connect Claude or ChatGPT through OAuth, paste the notes after a discovery call, and let the assistant propose the three records. The human check is the rep reading the proposal before anything is written, since the assistant can change whatever that rep is allowed to change; each change then lands in Pipedrive's change log. Salesflare's AI guide recommends the same order: start with read-only questions such as "show me the ten open opportunities that need attention most", then review every create or update the assistant suggests. In Salesflare the notes matter less, because the meeting and the emails around it are already on the timeline.
Run both trials in the same fortnight
Neither vendor asks for a card, and the free trials are enough to decide. Start Salesflare first, since its 30 days outlast Pipedrive's 14. Connect one seller's mailbox and calendar and leave it for a week. Then open Pipedrive, import the same 30 open deals from a spreadsheet and ask that seller to work from it. On day 14, put the two numbers from the list above side by side.
Each trial is designed to get your mailbox connected and your deals imported within the first hour, because a CRM that already holds your history is the one you renew. That is a fair goal for a vendor. It is also the reason to export what you put in, from both, before the trials end, so the choice stays yours.
Choose Salesflare if your job is
- Keeping a small B2B team's contacts, emails and meetings on record without asking anyone to type them.
- Following up from Gmail, Outlook or LinkedIn, using its sidebars there.
- Seeing which accounts opened, clicked or visited your website this week.
Choose Pipedrive if your job is
- Running a defined sales process, where every deal has a stage and a next step.
- Automating follow-ups with triggers, conditions and if/else paths, built by an admin.
- Walking into meetings briefed and leaving with a transcript, on any plan.

FAQ
Does either one have a free plan?
No. Both pricing pages list paid plans only, with trials that need no card: 30 days on Salesflare and 14 days on Pipedrive, where colleagues can join the trial.
Which is cheaper for three sellers who want email sequences?
Pipedrive. For example, three seats on Pipedrive Growth come to 3 x $39 = $117 a month billed annually, against 3 x $49 = $147 on Salesflare Pro, the plan with multi-email workflows, from the Pipedrive and Salesflare pricing pages on 26 October 2026.
Can Claude or ChatGPT update records in both?
Yes. Salesflare sits in the ChatGPT app directory and the Claude connector directory, with a custom MCP server as a fallback, per its AI guide. Pipedrive's MCP server works on every plan within token limits set by the plan, and extra tokens can be bought.
