The short answer: if one person keeps a HubSpot or Salesforce pipeline sheet that must be current every morning, Coefficient's Starter plan refreshes the whole import daily for $49 a month billed annually, or $59 monthly (Coefficient pricing); Zapier would build that sheet one action at a time. If the job is a reaction to a single record, a deal changing stage and posting to Slack, or a form entry becoming a contact, Zapier does it from its Free plan's 100 tasks a month, with Professional from $29.99 a month billed monthly or $19.99 yearly (Zapier pricing). Both checked on 26 October 2026.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

The two meet in Google Sheets. Coefficient is a Sheets and Excel add-on that pulls live data from 150+ business systems into a tab on a schedule, with two-way sync for HubSpot and Salesforce (integrations). Zapier treats a sheet as one app among thousands: a row can start a Zap, and a Zap can write a row (Google Sheets on Zapier).

Sort the job before the tool:

  1. Run both meters on one month. For example, a pipeline of 1,200 open deals refreshed daily uses 30 of Starter's 500 refreshes a month, and the 1,200 rows fit inside its 5,000-row import limit (Coefficient pricing). Logging the 150 stage changes that month through Zapier, an Updated Deal Stage trigger with a Create Spreadsheet Row action, costs 150 tasks, because the trigger is free and the row is one successful action (task usage); that is 50 more than Free holds, and the 1,050 deals that did not move never reach the sheet.
  2. Count the people who will edit. Starter is sold to one user, and a second editor means Pro at $99 per user billed annually, up to five (Coefficient pricing). Colleagues without a licence can read the sheet through a share link but cannot edit imports or schedule refreshes.
  3. Fix the check before the first refresh. Compare the sheet's open-pipeline total with the CRM's own report on the same morning, once a week for a month. Coefficient wipes and rewrites an import at each refresh, so set up a snapshot if last week's figure has to survive (refresh article).

How they differ underneath

A state, or a log

Coefficient answers "what does the pipeline look like now?": every refresh replaces the tab with the source's current state, which suits a forecast and not a history (refresh article). Zapier answers "what just happened?": each event becomes a row or a message, a log of changes that never shows the deals that sat still. A team that wants both runs both.

Paid by the person, or by the action

Coefficient's price follows the people editing imports, $99 per user a month billed annually on Pro, with refreshes, rows and alerts as the limits inside each plan (pricing). Zapier's follows successful actions, with triggers, filters and paths free (task usage). A busy CRM with one analyst favours Coefficient; a quiet CRM with many small reactions favours Zapier.

Where the AI sits

Coefficient puts its agents inside the spreadsheet: an Import Agent, an API Agent for systems without a connector, a Browser Agent for sites without an API, a Sheets Assistant and a Monitoring Agent (homepage). Zapier puts AI in the chain, as AI by Zapier steps, or outside it, through Zapier MCP for Claude and ChatGPT (Zapier MCP). The first helps the person who owns the sheet; the second, a process nobody opens.

An alert the agent drafts and a person tests

Coefficient documents one agent step with a check built in. In the sidebar, open Monitor and describe the alert, for example: "Send a Slack alert when any opportunity changes its stage to 'Closed Won'." The Alerts Agent analyses the sheet, may ask whether you want one message or separate ones, and proposes a layout in a preview; you can ask it to add a field such as the amount (Alerts Agent). Before choosing Save & Schedule, use Send Test and read the test message against the CRM record it describes. Then set it to run when the import refreshes. Starter includes 100 alerts a month and Pro 300 (pricing).

What each team size pays

Read on 26 October 2026 from the Coefficient and Zapier pricing pages, in US dollars a month.

People who editCoefficientZapier
1Starter: $49 billed annually, $59 monthlyProfessional: from $19.99 billed yearly, $29.99 monthly
3Pro: 3 x $99 = $297 billed annually, 3 x $119 = $357 monthlyTeam: from $69 billed yearly, $103.50 monthly
6Enterprise, quoted, since Pro stops at 5Team, which holds up to 25

Coefficient takes 17% off for annual payment, and Zapier gives non-profits 15% off paid plans (Coefficient pricing, Zapier pricing).

Both free plans, used properly

Coefficient's Free plan imports up to 5,000 rows and allows 50 refreshes a month, but every refresh is manual, because automatic refreshes and Slack and email alerts need a paid plan (pricing FAQ). Zapier's Free plan covers a two-step Zap, enough for one trigger and one action (Zapier pricing). Coefficient's 30-day trial runs on Pro at $99 per user, not on the $49 Starter plan a one-person sheet needs, and the account drops to Free when it ends (pricing FAQ); a sheet built that month leans on hourly refreshes and unlimited rows that neither Free nor Starter gives. Build the trial sheet within Starter's daily refresh and 5,000 rows, as the Coefficient how-to does for a weekly HubSpot pipeline sheet.

Choose Coefficient if your job is a table

  • A pipeline, revenue or marketing sheet fed from HubSpot, Salesforce, Google Ads, Meta Ads or GA4 that must be current without copy and paste.
  • One owner, or up to five editors, working inside Sheets or Excel.
  • Rows sent back to the CRM from the sheet.

Choose Zapier if your job is a reaction

  • One record at a time: a deal moving stage, a form entry, a closed sale, each triggering something in another app.
  • Chains that reach far beyond the CRM and the sheet.
  • A team of builders, up to 25 on Team.

For Zapier against a marketing data connector, see Windsor.ai vs Zapier; against other builders, Make vs Zapier.

When the sheet is covering for the stack

Sometimes the sheet exists because nobody trusts the CRM's own pipeline report, and a Zap copies records between two systems that should already agree. The stack is the problem rather than the tool, and a one-week review such as the Startup Fixer, which I sell, maps it before a third tool joins.

FAQ

Does a Coefficient refresh add new rows or replace the tab?

It replaces the import: each refresh wipes the data and writes it again, new rows included (refresh article). Snapshots keep earlier versions.

Can Zapier write many rows in one task?

Its Google Sheets app has a Create Multiple Spreadsheet Rows action with line-item support (Google Sheets on Zapier). Zapier's task article counts each successful action step as a task (task usage); check the task count in Zap history after the first run.

Why did my Coefficient schedule stop refreshing?

The help centre suggests opening the sidebar from time to time, which keeps the Google triggers behind scheduled refreshes active (refresh article).
