The short answer: if the job is a weekly report on Google Ads, Meta Ads and GA4 with last quarter beside it, Windsor.ai is the tool, and its Basic plan covers those three platforms and up to 75 accounts for $19 a month billed annually, or $23 billed monthly (Windsor.ai pricing). If the job is a reaction to one new record, such as a Google Ads lead becoming a CRM contact, that is Zapier's work: 100 tasks a month on the Free plan, then Professional from $29.99 a month billed monthly or $19.99 billed yearly (Zapier pricing). Both checked on 26 October 2026. Pick Windsor.ai when the output is a table someone reads, Zapier when it is an action in another app.
Disclosure: I may earn a commission through some links on this site. It does not change what this page says.
Both sit between your apps and both plug into Claude, which is why they get compared. Windsor.ai copies performance data from 350+ platforms into BI tools, spreadsheets, warehouses and AI chats (Windsor.ai). Zapier runs a chain each time something happens in one of 9,000+ apps: a trigger, then one or more actions (pricing FAQ).
Settle three things on paper first:
- Put each job on its own meter. For example, 300 lead form entries a month, each creating a CRM contact and a Slack message, comes to 2 x 300 = 600 Zapier tasks, because the trigger is free and each successful action costs one (task usage). That is six times the Free allowance. Windsor.ai's meter never sees events: a report on Google Ads, Facebook Ads and GA4 is 3 data sources however many rows it holds, inside Basic's 3 (pricing FAQ).
- Start from where the output lands today. Data Studio, a sheet, BigQuery and a chat with Claude are Windsor.ai destinations, included on every plan. A CRM record, a Slack post or an email is a Zapier action.
- Choose the number you will check after a month. For the report, seven closed days of spend per platform against each ad manager; Windsor.ai's checklist for mismatches names level, date range, time zone and attribution setting (answers page). For the event flow, leads in the source app against contacts created, from Zap history.
Which job goes where
| The job | Goes to | What the vendor documents |
|---|---|---|
| Spend, clicks and conversions from three ad and analytics platforms in one table | Windsor.ai | A Blended Data connector returns several sources as one table (answers) |
| Two years of ad history loaded into BigQuery | Windsor.ai | Backfills from Basic, up to 10 years of history on paid plans (answers) |
| A Google Ads lead form entry created as a HubSpot contact | Zapier | New Lead Form Entry trigger with a ready HubSpot template (Google Ads on Zapier) |
| "Why did cost per lead rise last week?" asked in Claude | Windsor.ai | MCP access for AI analysis on every plan (pricing page) |
| A person signing off before the chain continues | Zapier | Human in the Loop, Request Approval action (Human in the Loop) |
What each bill follows
Windsor.ai charges for breadth: the platforms you pull from and the account IDs selected inside them, so twenty client accounts under one Google Ads manager account count as twenty (pricing FAQ). Zapier charges for activity: each successful action is a task, triggers and filters are free, and an AI by Zapier step costs 1, 3 or 5 tasks by model tier (model tiers). Zapier's bill rises with a busy month; Windsor.ai's stays put until a platform or an account is added.
A past, or a next step
Reporting needs last year. Windsor.ai keeps up to 10 years of history on paid plans, backfills it into a warehouse or sheet from Basic, and syncs daily on Basic, hourly from Standard and every 15 minutes on Professional (answers page). Zapier works in the present tense: a Zap fires when its trigger sees something new, instantly for some triggers and every 15 minutes for polling ones on the Free plan (Google Sheets on Zapier). Its Google Ads app does carry a Create Report action, one platform's report per run (Google Ads on Zapier).
Both reach Claude, for different reasons
Windsor.ai's MCP server gives an assistant every field from every connected source and a short list of writes, such as pausing campaigns or changing budgets. It asks before each change, and an ad account connected through a read-only login cannot be changed at all (answers page). Zapier MCP is built for doing, across 9,000+ apps and 66,000+ triggers and actions, with the apps an agent may touch chosen inside Zapier, at two tasks per tool call (Zapier MCP, task usage). An agent that reads through Windsor.ai and acts through Zapier pays Zapier only for the acting.
A Monday summary built from both
One documented chain, with a person checking before anything is posted:
- Schedule by Zapier starts the Zap each Monday (Schedule by Zapier).
- A Webhooks by Zapier GET request calls Windsor.ai's API with
date_preset=last_7dand fields such asdate, source, campaign, spend, clicks(Windsor.ai API documentation). Webhooks is a Premium app, so this needs a paid plan (Webhooks by Zapier); the API key sits in the URL, so rotate it periodically. - An AI by Zapier step on the Standard tier, with no tools, drafts five lines: spend and clicks per platform against the week before.
- A Request Approval step holds the run until the marketing lead has checked each figure against the ad managers (Human in the Loop).
- The approved text goes to the team's Slack channel.
For example, counting each of the four action steps as one task, a run uses 4 tasks and a month with five Mondays 4 x 5 = 20.
What the money buys on each
Checked on 26 October 2026 on the Windsor.ai and Zapier pricing pages, in US dollars per month.
| Spend | Windsor.ai | Zapier |
|---|---|---|
| Nothing | 30 days with 10 sources and 15 accounts, then 1 source and 1 account | 100 tasks a month, two-step Zaps |
| $19 to $30 | Basic: $19 billed annually, $23 monthly; 3 sources, 75 accounts | Professional: from $19.99 yearly, $29.99 monthly; multi-step Zaps, Premium apps |
| $69 to $120 | Standard: $99 annually, $118 monthly; 7 sources, hourly syncs | Team: from $69 yearly, $103.50 monthly; 25 users, SAML SSO |
| More | Plus at $249 or $299, Professional at $499 or $598, Enterprise on quote | Enterprise on quote |
Past its limit, Zapier bills extra tasks at a higher rate, up to three times the plan's tasks (pay-per-task article); Windsor.ai has no overage, only the next plan.
The free test, before either invoice
On Windsor.ai, connect your three platforms in the first 30 days, no card needed, and compare the totals with the ad managers (answers page). On Zapier, the lead-to-CRM job fits the Free plan's two-step Zap. Zapier enrols each new account in a 14-day trial of its paid features, multi-step Zaps and Premium apps such as Webhooks among them, and moves it to Free when the fortnight ends (trial article), so a three-step Zap built in week one needs Professional to keep running in week three. Build the test inside the Free plan's limits instead.
Choose Windsor.ai if the numbers need a history
- A recurring report across ad platforms and GA4, in Data Studio, Sheets, Power BI or BigQuery.
- Many accounts across a few platforms, which Basic's 75 accounts are drawn for.
- Claude answering performance questions over every source.
The weekly report use case builds the same Monday report as an n8n agent.
Choose Zapier if an event needs a next step
- Lead routing, notifications, CRM updates or offline conversions sent back to Google Ads.
- Chains that touch apps far outside marketing data, with an approval inside the chain.
Zapier against other builders: Make vs Zapier, n8n vs Zapier; against a live spreadsheet: Coefficient vs Zapier.
FAQ
Can Zapier replace Windsor.ai for ad reporting?
For one platform at a time, partly, through the Google Ads app's Create Report action (Google Ads on Zapier). It has no blended table, backfill or stored history.
Can Windsor.ai post to Slack or update a CRM?
Not as a destination: its list covers BI tools, spreadsheets, warehouses, databases and AI chats (pricing page). It does email your team when a scheduled sync fails (answers page).
Do I need both?
Often, because they barely overlap: Windsor.ai holds the numbers and their history, Zapier moves single records. The Monday summary above is where they meet.
