HighLevel vs Salesforce: A Flat Fee or a Seat Ladder

The short answer: a service business or agency whose ten staff all need logins, and whose leads arrive through forms, calls and texts, pays HighLevel $97 or $297 a month in total, users unlimited, on its pricing page. A B2B company that needs quoting and forecasting, and room to grow into a platform other teams share, pays Salesforce per user: $25 a month on Starter Suite, and $100 on Pro Suite, billed annually under a contract, per its sales pricing page and free CRM page. Checked on 26 October 2026.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

Salesforce changes the shape of the bill. Every login is a line item, the editions climb from a free suite to $550 a user a month, and the price comes with a platform that service, marketing and commerce teams can join later. HighLevel's price does not move with headcount at all. It moves with the number of client accounts, and with how many emails, texts and AI conversations you run through it.

Before either demo:

  1. Price ten logins on each. For example, Salesforce Starter Suite is 10 x $25 = $250 a month and Pro Suite is 10 x $100 = $1,000 a month billed annually, while HighLevel Starter is $97 for all ten and Unlimited is $297, from the Salesforce and HighLevel pricing pages. Add HighLevel's usage, such as $0.675 per 1,000 emails, before you call it cheaper.
  2. Draw your sales process on one page, from the CRM or spreadsheet you use now. Stages, who approves a discount, how a quote gets made, how the forecast reaches the board. If quotes and forecasts are on that page, Salesforce starts covering them at Pro Suite. If the page is a form, a call and a booking, HighLevel was built for it.
  3. Name the one report you need in month one. Forecast against closed revenue points one way; appointments booked by lead source points the other. Whichever you named, check that the trial can produce it.

What separates them

Who needs a login

On HighLevel, every plan includes unlimited users and contacts, and clients can log in to their own sub-account under your brand. On Salesforce, each person who sells, supports or reports is a seat at the edition you chose. That rewards the opposite teams: HighLevel suits many people doing light CRM work, Salesforce suits fewer people doing heavy work in one shared record.

What you are signing

HighLevel's pricing FAQ says it runs month to month with no long-term contract, and plans can be changed or cancelled from the dashboard. Salesforce's free CRM page labels Pro Suite "billed annually, contract required," and Core, Advanced and Max are billed annually too. Its sales pricing page calls itself information only and points to a sales representative for detailed pricing.

What AI adds

On Salesforce, agents are their own line: Agentforce for Sales starts at $125 a user per month, can be added from Core upwards, and only Max, at $550, includes it, along with 2.75M Flex Credits a year for the whole org. HighLevel prices AI per sub-account: usage for Conversation AI and Voice AI, or AI Employee, priced at $50 or $97 for each sub-account monthly, per its pricing guide.

The bill, checked on 26 October 2026

Salesforce's sales pricing page charges per user a month: nothing for the Free Suite, $25 for Starter Suite on monthly or annual billing, and on annual billing $100 for Pro Suite, $195 for Core, $395 for Advanced and $550 for Max.

On HighLevel's pricing page, a yearly plan costs $970 for Starter, with 3 sub-accounts, $2,970 for Unlimited and $4,970 for Agency Pro; monthly, those are $97, $297 and $497. Email, phone, SMS and AI usage come out of a prepaid wallet on top.

An agent that reads the pipeline and touches nothing

HighLevel's MCP guide has you create a Private Integration Token inside one sub-account, choose its scopes, then add the endpoint and the token to an MCP client such as Cursor or a Claude-compatible client. Give the token view scopes only, for opportunities, contacts and calendar events, and ask on Monday which open opportunities have no appointment booked. The agent searches opportunities and reads calendar events; it cannot edit, because the token was never allowed to. A person books the calls. The guide's own advice is to select only the tools the workflow needs. On Salesforce the same check runs through Hosted MCP Servers with per-user OAuth that respects field-level security and sharing rules, though Salesforce's guide limits them to Flex Credit customers and notes that their usage can appear on the bill.

Start with what costs nothing

Salesforce's Free Suite comes with two user licences and needs no contract or card, and its paid suites have a 30-day trial. HighLevel's 14-day trial covers the tier you pick, and billing starts automatically when it ends unless you cancel. Run the report from step 3 in both before anyone talks price.

Salesforce's free CRM page marks Pro Suite "contract required" and bills it annually, so the edition accepted at signature is a year of revenue the vendor has booked before your team has logged a single deal. Arrive at that conversation with your seat count and the edition you will stop at. HighLevel's route ends instead in a trial that turns into a subscription, so put a cancel date in the calendar on day one.

Choose HighLevel if your job is

  • Capturing, booking and following up leads for a service business or for its clients, with forms, calendars, SMS and email in one place.
  • Giving every staff member, or every client, a login without a per-seat bill.
  • Staying month to month while the business finds its shape.

Choose Salesforce if your job is

  • Running a B2B sales process with quotes and forecasts, on a platform other departments will join.
  • Starting free with two users and climbing editions as the process grows.
  • Connecting AI agents under each user's own permissions and field-level security.

When it is not a software question

Sometimes this comparison is a stand-in for a different argument: who will own the revenue process once the software is bought. That gap is a person, not a platform, and neither tool fills it. An interim CMO holds that seat for a fixed term and hands it over; I sell that work, so weigh the suggestion accordingly.

FAQ

Can HighLevel replace Salesforce for a B2B sales team?

For a simple pipeline, yes: CRM and pipelines, custom dashboards and workflow automation are core features on every HighLevel plan, per its pricing page. For quoting and forecasting, Salesforce documents both from Pro Suite on its sales pricing page.

Is Salesforce Starter Suite billed monthly?

It can be: the sales pricing page shows Starter Suite at $25 per user a month, billed monthly or annually. Pro Suite and the editions above it are billed annually.

Does HighLevel need a long contract?

No. Its pricing FAQ says plans run month to month and can be upgraded, downgraded or cancelled from the dashboard, with prorated charges on a mid-month upgrade.
