The short answer: if you run outbound for clients, two lines settle this before any feature does: Smartlead sells a client workspace for $29 a month on top of its $94 Pro plan, and Apollo.io's pricing FAQ says its standard plans are for internal business use, with data shared with customers needing a separate agreement, per the Smartlead pricing file and the Apollo pricing page, checked on 26 October 2026. For an in-house team of one or two that wants to find buyers and email them from the same login, an Apollo.io Basic seat at $65 a month does both. Smartlead wins when the job is sending at volume, for yourself or for several clients.

Work it out on paper:
- Agency arithmetic. For example, an agency with three clients on Smartlead Pro pays $94 + 3 x $29 = $181 a month on monthly billing, with 90,000 sends and 30,000 stored contacts to share, per the Smartlead pricing file. An in-house founder on one Apollo Basic seat can send at most 250 x 22 = 5,500 emails over 22 working days, per the Apollo pricing page.
- Use the lists you already saved. If Apollo already holds your contacts, exporting saved contacts to a CSV costs no credits, and each net-new person with a verified email costs 1, per Apollo's CSV export article. That file can feed a Smartlead campaign for your own company without buying the data twice.
- Pick the number you will judge by. Positive replies per 100 sends, per client or per mailbox group, after the first 2,000 sends. Bounces by data source beside it.
Smartlead is a sending engine with agency plumbing: unlimited mailboxes, rotation, warm-up, client workspaces and whitelabel. Apollo.io is a data source first that also sends: each seat adds credits to a pooled allowance and brings a mailbox and the dialer.
The two on paper
| On paper | Smartlead | Apollo.io |
|---|---|---|
| Billing basis | Sends and stored contacts per month, not seats or mailboxes (pricing file) | Per seat, every seat on one plan (pricing) |
| Monthly volume | 6,000 sends on Base, 90,000 on Pro, 150,000 and 500,000 on the Unlimited plans | 250 sends a day on Free and Basic; unlimited on Professional, under fair use |
| Mailboxes | Unlimited on every plan, rotated inside each campaign | 1 per user on Free and Basic |
| Lead data | Verified prospect emails: a $59 add-on on Base and Pro, included from Unlimited Smart | Inside the seat: 2,500 credits a month on Basic |
| Clients | $29 a month per client workspace from Pro, with whitelabel; 3 included on Unlimited Prime | Standard plans for internal business use only |
| API and webhooks | Pro and above | API access on the Free plan card; advanced integrations on custom plans |
| Calling | SmartDialer, credit-based, from $9 a month | US dialer from Basic, credits per 30 seconds |
| Trial | 14 days, no card, 2,500 sends, 1,250 contacts (trial article) | 14 days on Basic or Professional |
Three differences that decide it
Whose data it is
This is the Apollo.io fact that matters for this pair. Its pricing FAQ answers whether Apollo data can be used to build products or services for your customers: the plans on the page are for internal business use, and powering external products, sharing with customers or reselling needs a separate agreement with custom pricing, per the Apollo pricing page. An agency that would pull lists from Apollo for client campaigns should read that answer and ask Apollo in writing whether its model counts as sharing. Smartlead prices the agency case openly, a workspace at a time.
How much each will send
Smartlead's tiers are volume tiers: 90,000 sends a month on Pro and 500,000 on Unlimited Prime, from as many mailboxes as you connect, with rotation spreading the load, per its pricing file. Apollo's Basic seat sends from one mailbox and stops at 250 emails a day; Professional lifts both limits for $99 a seat. Volume is Smartlead's home ground. A few hundred careful emails a week fit inside either.
Where the next 1,000 leads come from
Apollo's answer is its own database, paid for from the seat's credits. Smartlead's answer is SmartProspect, sold as a monthly allowance of verified prospect emails: 2,000 on Base or 30,000 on Pro for a $59 add-on, and 50,000 included on Unlimited Smart, per the pricing file. Its homepage frames the same idea as one verified lead earned for every three emails sent.
One agent step: catch the replies still in sequence
Smartlead's MCP setup guide connects Claude Desktop to an account through an API key and a local MCP server, with 116+ tools across campaigns, leads, mailboxes, deliverability, analytics and webhooks. Its suggested third prompt is the useful one: "Show me leads who replied in the last 7 days but are still active in sequences." The assistant returns the list. A person reads each reply, removes the lead from the sequence where the answer was a no or a question, and books the yes. One check before you start: the guide asks for a paid plan, and the pricing file lists API access from Pro, so confirm your tier carries an API key.
What you would pay
Checked on 26 October 2026, in USD.
- Smartlead, on its pricing page: Base $39 a month billed monthly, Pro $94, Unlimited Smart $174 and Unlimited Prime $379. Yearly billing saves 17%, which its pricing file puts at $32.50, $78.30, $144.50 and $314.60 a month. Client workspaces are $29 each and dedicated SmartServers $39 each, from Pro.
- Apollo.io, per seat a month on its pricing page: Free $0 with 75 credits a month; Basic $65 monthly or $49 annually with 2,500 credits; Professional $99 or $79 with 4,000. Annual billing saves 24%.
The banner on Smartlead's pricing page offered 50% off the first month on any plan on 26 October 2026, which makes a bigger plan cheapest at the moment you know least about your volume. Pick the tier from the trial's numbers, not from the discount.
Free before you pay
Both start free. Smartlead's trial gives 14 days, 2,500 sends and 1,250 stored contacts with unlimited mailbox connections and no card, per its trial article. Apollo's Free plan gives 75 credits a month, two sequences and one Gmail mailbox, per its pricing page. Pull a small verified list from Apollo for your own company, send it through Smartlead's trial across three or four mailboxes, and read replies per 100 sends. That one test shows whether you need a sender, a database or both.
Choose Smartlead if
- Your job is running cold email for several clients, each in its own workspace.
- Volume across many rotated mailboxes is the work, from tens of thousands of sends a month upward.
- Your data already comes from somewhere else, or SmartProspect's allowance covers it.
Choose Apollo.io if
- Your job is building your own company's pipeline from search to sequence to call, in one seat.
- One mailbox per rep and a few hundred emails a day are enough.
- You want the database, the sender and a dialer on one bill.

FAQ
Can I send Apollo.io contacts through Smartlead?
For your own company, yes: export saved contacts to a CSV, which costs no credits, and import the file into a campaign, per Apollo's CSV export article. For a client's campaign, read the internal-use answer in Apollo's pricing FAQ first.
Does Smartlead include contact data?
As an allowance of verified prospect emails through SmartProspect: a $59 add-on on Base and Pro, included on the two Unlimited plans, per the pricing file.
Does Smartlead charge per mailbox?
No. Every plan includes unlimited email accounts, and sending rotates across all the mailboxes in a campaign, per the pricing file.
