The short answer: if you run cold email for five clients, the line that decides this is the client workspace, not the plan: Smartlead adds one for $29 a month on top of its $94 Pro plan, while Instantly bills every workspace as a subscription of its own. For one in-house team sending between 6,000 and 90,000 emails a month the two sit $3 apart, $94 against $97 on the Smartlead and Instantly pricing pages, and only Instantly's entry plan includes API access.

Disclosure: I may earn a commission through some links on this site. It does not change what this page says.

Mailbox count does not separate these two. Both connect unlimited sending accounts on every plan, both charge for emails sent and contacts stored, and both sell ready-made mailboxes. What Smartlead changes for the reader is how an agency's clients are billed and which tier carries prospect data. Instantly keeps each client in a fully separate workspace with its own plan, and keeps data on a credits subscription.

Before you move clients:

  1. Work out the agency bill. For example, five clients on Smartlead Pro cost $94 + 5 x $29 = $239 a month. On Instantly, five Growth workspaces cost 5 x $47 = $235, each capped at 5,000 emails and 1,000 contacts, and five on Hypergrowth cost 5 x $97 = $485, using the Smartlead pricing file and Instantly's workspace article.
  2. Ask the question the pricing file leaves open. Smartlead's pricing file does not say whether client workspaces draw on the parent plan's 90,000 sends or get their own. Get the answer in writing before you plan five clients on one Pro allowance.
  3. Start from the mailboxes you own. Both tools take existing Google, Outlook and SMTP accounts. New ones cost $4.50 a month for a fresh Google mailbox on Smartlead and $5 on Instantly, and $9 or $10 for pre-warmed, per the Smartlead and Instantly pricing files.
  4. Decide how you will prove placement to a client. Instantly's trial includes two inbox placement tests, per its trial article; Smartlead sells placement testing as SmartDelivery from $49 a month. Run one test per client before the first report, and again whenever replies fall.

The ladder, rung by rung

One discrepancy to know: Instantly's plan card and pricing file give Hypergrowth 125,000 emails a month, while the feature table lower on its pricing page still says 100,000. Plan on the lower figure until Instantly confirms the higher one.

Three things that move the bill

Workspaces

Instantly's workspace article is plain about it: each workspace is a completely separate space with its own campaigns, contacts and analytics, and each needs its own subscription. That is clean for reporting and costly at scale. Smartlead adds client workspaces with whitelabel branding from Pro for $29 each, and Unlimited Prime includes three, per its pricing file.

Prospect data

Smartlead's verified prospect emails cost $59 a month on Base and Pro and come included from Unlimited Smart, 50,000 a month, and 170,000 on Prime. Instantly sells data through Instantly Credits only, from $9 for 150 credits, per its pricing file. An agency that sources leads for clients gets more from Smartlead's upper tiers; one that receives lists from clients pays for nothing it will not use on Instantly.

Wiring on the cheapest tier

Smartlead's Base excludes the API, webhooks and CRM access, which start on Pro. Instantly's Growth includes the API but keeps webhooks and full reply handling in the Unibox for Hypergrowth. If your reporting runs through an API from day one, Instantly's entry plan does it and Smartlead's does not.

How hard each wants a mailbox pushed

Smartlead's help centre recommends 40 to 50 messages a day per mailbox, cold emails and warm-up counted together, in its sending article. Instantly's limits article recommends 30 campaign emails a day with warm-up not counted, and caps its own AirMail mailboxes at 20. The two land close together. Volume comes from the number of warmed mailboxes in both, so price the mailboxes before the plan.

Prices on 24 October 2026

In USD, checked on 24 October 2026 on the Smartlead pricing page and the Instantly pricing page. Smartlead's annual billing saves 17%: $32.50, $78.30, $144.50 and $314.60 a month for its four plans. Instantly's yearly toggle shows $37.6, $77.6 and $286.3 a month for Growth, Hypergrowth and Light Speed.

Trials first

Both trials run 14 days without a card, and they are not the same size. Smartlead's trial article gives 2,500 sends, 1,250 stored contacts, unlimited mailboxes and every paid feature except whitelabel; warm-up does not count against the sends, bounces do. Instantly's trial gives two accounts, 250 leads and 1,000 campaign emails. For an agency, Smartlead's trial carries enough volume to run one real client campaign end to end; use it for that before buying a single workspace.

An agent check before the client call

Smartlead's MCP setup guide connects Claude Desktop to an account with an API key and a local server, and suggests a prompt that is worth running weekly: show leads who replied in the last seven days but are still active in sequences. The agent produces the list; a person reads each thread and pauses the lead by hand, because a reply can be an unsubscribe as easily as a yes. Note the plan question first: the guide says any paid plan, while the pricing file keeps API access to Pro and above.

The first month is not the price

Smartlead's pricing page and homepage carry a banner offering 50% off the first month on any plan. A launch offer is there to win the first month; the second month's price is the one you will pay for years, so build the agency's margins on that.

Choose Smartlead if your job is

  • Running outbound for several clients under your own brand, with one bill.
  • Sourcing verified leads for clients as part of the service.
  • Testing a full client campaign inside the trial before committing.

Choose Instantly if your job is

  • Keeping each client's data and billing fully apart, one workspace each.
  • Feeding a reporting stack through the API on the cheapest plan.
  • Sending 500,000 emails a month for slightly less than Smartlead's top plan, on the Light Speed tier.

FAQ

Can one Instantly login manage several clients?

Yes. Workspaces sit under one login and switch from the logo menu, but each needs its own subscription, and creating one requires an active Outbound plan, per the workspace article.

Does Smartlead's Base plan connect to a CRM?

No. The pricing file lists CRM access, the API and webhooks as starting on Pro, which is also the first tier where client workspaces can be added.

Do warm-up emails use up either tool's send allowance?

No. Smartlead's trial article says warm-up emails are tracked separately from sends, and Instantly's limits article says warm-up emails do not count toward its account or campaign limits.
